# TuitionCRM Help centre — full text > Step-by-step answers for every feature of TuitionCRM, scheduling, PayNow invoicing and parent-communication software for private tutors and tuition centres in Singapore. Web version: https://tuitioncrm.com/help/ ## Getting started Signing in, your account, and where your data is kept. ### I'm new — what should I do first? Source: https://tuitioncrm.com/help/#first-steps 1. When you first sign up, a 2-minute setup walks you through it: three quick questions, bringing in your students (snap your notebook, paste a list, Google Calendar or Excel), their weekly lesson times, and your PayNow number. 2. Skipped it? Go to Students and click Import students (or Add student), then Schedule → New lesson for their regular lessons — choose Every week so you only do it once. 3. If you teach some students together, go to Students → Groups and click New group. 4. In Invoices → Settings, fill in your PayNow number, centre address and usual Zoom link. Tip: The “Get set up” checklist on the Overview shows what else you can set up. Want to look around first? Click Try demo at the top of the home page. ### Where's the setup checklist? Source: https://tuitioncrm.com/help/#setup-checklist 1. New accounts see “Get set up” at the top of the Overview page, with each thing to set up and where to find it. 2. Click the button next to a step to go straight there. Steps tick themselves off as you finish them. 3. When you save a step, a bar at the bottom of the screen says it's done and shows the next one — click Next step to go straight there, or See all steps to go back to the list. 4. Click Hide to put it away — “Show setup checklist” on the Overview brings it back. 5. It disappears by itself once the essential steps are done. ### How do I put my company name and UEN on invoices? Source: https://tuitioncrm.com/help/#business-details 1. Click Settings in the left menu (on a phone: More → Settings) and open the Business tab. 2. Under Business details (optional), choose your country, then type your registered business name (e.g. “… Pte. Ltd.”) and registration number (UEN in Singapore). 3. If you're GST / VAT registered, add your tax number. You can add your business address too. 4. Click Save. They now appear at the top of every invoice and on your income statement. Tip: It's optional — leave it blank if your tuition isn't a registered business. Outside Singapore, pick your country and the labels change (e.g. ABN, Company No., EIN), or edit them yourself. ### Where do I add my WhatsApp number? Source: https://tuitioncrm.com/help/#whatsapp-number 1. Click Settings in the left menu (on a phone: More → Settings). It's on the Profile tab. 2. Under WhatsApp number for parents, choose your country code (Singapore +65, Malaysia +60 and more), type your number and click Save. 3. Parents' WhatsApp and “Can't make it?” buttons on their parent page now open a chat with you. ### What's different in the demo account? Source: https://tuitioncrm.com/help/#demo 1. Everything works the same, so you can try it all — but your changes are only kept in this browser. 2. Emails are never sent: “Send me a test” and “Send schedule email now” just explain it's the demo. 3. The synced “Google Calendar (example)” and its busy times are made up. 4. The PayNow details are an example that can't receive money. 5. When you're ready, click Create your real account (bottom of the left menu, or at the top on a phone). ### How do I sign in on another phone or computer? Source: https://tuitioncrm.com/help/#sign-in 1. Open the app's web address on the other device. 2. Click Sign in, then Continue with Google — or enter the same email and password. 3. All your students, lessons and invoices appear — everything is saved online. Tip: No password handy? Click Email me a sign-in code instead, and type the 6-digit code from your email. ### Can I sign in with Google (Gmail)? Source: https://tuitioncrm.com/help/#google-sign-in 1. On the sign-in page, click Continue with Google and choose your Gmail account. 2. If your TuitionCRM account uses the same Gmail address, you go straight into it — all your students and invoices are there. 3. New to TuitionCRM? Sign up with Google makes your account in one click. 4. Already signed in with a different email? Open Settings → Sign-in and click Connect Google. ### How do I sign in with Face ID or my fingerprint? Source: https://tuitioncrm.com/help/#face-id 1. Sign in once on your phone (or computer) the usual way. 2. Open Settings → Sign-in and click Turn on for this device, then follow your phone (look at it, or touch the fingerprint sensor). 3. Next time, on the sign-in page click Sign in with Face ID or fingerprint — no password needed. Tip: Do this once on each phone or computer you use. To stop it on a device, click Remove next to it in Settings → Sign-in. ### Can I sign in without my password? Source: https://tuitioncrm.com/help/#sign-in-code 1. On the sign-in page, click Email me a sign-in code instead. 2. Type your email and click Email me a code. 3. Open the email, type the 6-digit code and click Sign in. The code works for 10 minutes. Tip: Can't see the email? Check your spam folder, or click Send a new code. ### Why does it ask me to confirm my email? Source: https://tuitioncrm.com/help/#confirm-email 1. When you sign up, we email you a link to make sure the address is yours — so reminders and password resets reach you. 2. Open the email and click the link. The yellow "Please confirm your email" note then goes away. 3. No email? Click Send it again on the note, and check your spam folder. ### I forgot my password. How do I reset it? Source: https://tuitioncrm.com/help/#forgot-password 1. On the sign-in page, click Forgot password? (under the password box). 2. Enter your email and click Send reset link. 3. Open the email and click the link (it works for 60 minutes). 4. Type a new password twice and click Save new password. You're signed in straight away. Tip: Can't see the email? Check your spam folder. ### How do I change my name, business name, email or password? Source: https://tuitioncrm.com/help/#account 1. Click Settings in the left menu (on a phone: More → Settings). 2. Change your name or business name and click Save — they appear on invoices and messages. 3. To change your email or password, open the Sign-in tab, enter your current password, and click Change email / Change password. Tip: On the demo account you can look around, but the email and password can't be changed — sign up for a real account first. ### Which plan am I on? How do I upgrade or downgrade? Source: https://tuitioncrm.com/help/#plans 1. Your plan (Free, Pro, Pro Plus or Centre) is shown next to your name at the bottom of the left menu (on a phone: More → your name). Click Settings in the left menu and open the Plan tab. 2. You'll see your plan, how many active students it allows, and what Free, Pro, Pro Plus and Centre include. 3. Click Upgrade to Pro or Upgrade to Centre and pay by card — your plan switches as soon as the payment goes through. To cancel, click Cancel plan (or Manage billing); you keep your plan until the end of the period you paid for. 4. Pages that aren't in your plan (like Income, Analytics, Reminders or Bill everyone on Free) still open, with a blue note at the top, so you can see what they do with your own data. Tabs and the arrows that change the month still work; pressing any other button or typing in a box shows a short message with an Upgrade button. Adding a 6th active student does the same (and a 51st on Pro, for Centre). 5. Video testimonials: Free includes 1, Pro 20 a year and Centre 150 a year — see Get students. Written testimonials, WhatsApp screenshots and asking for Google reviews are unlimited on every plan. Tip: Your first month on any paid plan is S$15. Free is for up to 5 active students, Pro up to 30, Pro Plus up to 70 (plus 2 teachers) and Centre unlimited; churned and graduated students don't count. Going a few over? Up to 3 extra students are fine for 30 days before you need to upgrade. ### How do I download a backup of all my data? Source: https://tuitioncrm.com/help/#backup 1. Go to Settings and open the Backup tab. 2. Click Download a full backup. A file with all your students, lessons, invoices, expenses and settings is saved to your computer or phone. 3. To put a backup back, click Choose backup file…, pick the file, check the numbers, and click Replace everything with this backup. Tip: Restoring replaces everything in the account with what's in the file — keep your latest backup somewhere safe. ### How do I pay for a plan, change my card or see my invoices? Source: https://tuitioncrm.com/help/#pay-plan 1. Go to Settings and open the Plan tab. 2. Choose Monthly or Yearly (yearly gets 2 months free), then click Upgrade on the plan you want — Pro, Pro Plus or Centre. 3. Pay on Stripe's secure page. Your first month on a monthly plan is just S$15. You come straight back and your plan switches on. 4. To switch between paid plans, change your card, see invoices or cancel, click Manage billing. 5. Paying monthly? Click Switch to yearly on the Plan tab (under your plan) to get 2 months free. You'll see exactly what you pay today — the yearly price minus credit for the days left in this month — before you confirm. Tip: Card details are handled by Stripe — TuitionCRM never sees them. If a payment fails, you'll see a message on the Plan tab with an Update card button; Stripe tries again for you. ### How do I refer a tutor and get a free month? Source: https://tuitioncrm.com/help/#refer 1. Click Refer a tutor in the menu (on a phone: More → Refer a tutor), or go to Settings → Refer & earn. 2. Click Share on WhatsApp (or Telegram, or Copy) and send your link to a tutor friend. 3. When they sign up with your link, confirm their email and add 3 students and a lesson, you both get an extra free student on the Free plan (up to 5 extra). 4. When they join a paid plan, their first month is free (they add a card and aren't charged until it ends) — and your next month is free too. We email you each time. Tip: Free months come off your next bill. On the Free plan you get a month of Pro straight away instead. You can earn up to 12 free months a year. A free month is yours to keep once your friend's first payment goes through after their free month — if they leave before then, it's reversed. Your link is also on your tutor website and parent pages, so new tutors who find you there count too. ### How do I cancel my plan? Source: https://tuitioncrm.com/help/#cancel-plan 1. Go to Settings and open the Plan tab. 2. At the bottom, click Cancel … plan (e.g. Cancel Pro plan). 3. Read what changes, tell us why if you like, and click Cancel plan. Tip: You move to the Free plan straight away. All your students, lessons, invoices and income records are kept, and you can switch back any time. Free is for up to 5 active students — set students who have stopped to Churned or Graduated first if you have more. ### Can parents pay me by card automatically? Source: https://tuitioncrm.com/help/#card-payments 1. Yes. Parents tap Pay by card on their parent page and can tick "Pay future invoices automatically" — then every new invoice is paid by itself, about an hour after you create it. 2. It means fewer late or missed payments, no reminders to send, and nothing for parents to remember. Paid invoices are marked paid for you. 3. The money is deposited into your bank account automatically, in your business name. Payments run on Stripe, the payments company behind Amazon, Google, Shopify and Zoom. 4. Fees: Stripe's card fee, plus ours — 1.5% on Free, 1% on Pro, 0.75% on Pro Plus, 0.5% on Centre. PayNow stays free. 5. To turn it on: Settings → Card payments → Set up card payments. It takes about 5 minutes — have your NRIC (or UEN) and bank account ready; Stripe will also ask you to make a password and type a code from your email. 6. Once it says Card payments are on, unpaid invoices on parent pages show Pay by card next to PayNow. See payments, refunds, payouts and parents on automatic payments on the same page. 7. Card payments mark the invoice paid by themselves, show in Overview → Recent payments, and count in Income. Stripe's and our fees are added to your expenses automatically, so your profit is what reached your bank. 8. Parents on automatic payments see "Nothing to do" instead of a PayNow QR, so nobody pays twice. If a parent taps "I've paid" or you mark the invoice paid first, their card isn't charged. 9. To give money back, refund it in Settings → Card payments → Payments. A full refund puts the invoice back to unpaid by itself. 10. You get an email each time you're paid by card (and when a parent taps "I've paid"). Turn it off with Email me when I get paid on the Card payments page. 11. Income → How you were paid shows card vs PayNow vs bank, and Automatic monthly income shows what parents on automatic payments bring in each month (and about a year). ### How do I send a receipt? Source: https://tuitioncrm.com/help/#receipts 1. When you mark an invoice paid, it's recorded as PayNow. If it came another way, open it and change Paid by to Bank transfer, Cash or Other — it's shown on the receipt and in Income. Card payments are recorded by themselves. 2. Open the invoice in Invoices. Once it's paid, it turns into a receipt — "Paid on …, thank you", and how it was paid (e.g. by card). 3. Click Download receipt image (on a phone: Share receipt image) to send it on WhatsApp, or Print / PDF receipt. 4. Parents can download their own invoices and receipts too, from their parent page. ### Are there any fees when parents pay me? Can I pay for my plan yearly? Source: https://tuitioncrm.com/help/#payment-fees 1. PayNow and bank transfer: no fees at all, on every plan — parents pay you directly and the money never touches us. 2. Automatic card payments (optional): parents save a card and invoices are paid automatically. There's a small fee on top of the card processor's fee — 1.5% on Free, 1% on Pro, 0.75% on Pro Plus, 0.5% on Centre. 3. Yearly plans: pay for 12 months at the price of 10 (Pro S$590, Pro Plus S$1,190, Centre S$2,490; US$490, US$950 and US$1,990). The price stays locked in when you renew. ### Can I see every feature before upgrading? Source: https://tuitioncrm.com/help/#explore-centre 1. Click See everything in Centre in the left menu (on a phone: More). 2. A full sample account opens in a new tab, with example students, lessons, invoices and every feature switched on. 3. Look around as much as you like — nothing there touches your own account, and you stay signed in to it. 4. Click Back to my account when you're done, or Switch to Centre to move your account to Centre. Tip: The card only shows on Free and Pro. Changes in the sample account stay in that browser. ### Where do I find this Help page again? Source: https://tuitioncrm.com/help/#find-help 1. Click your name or the gear icon at the bottom of the left menu, then Help & how-tos. 2. Or click Help in the left menu. 3. On a phone, tap More at the bottom, then Help. ### How do I ask for a new feature, report a bug or contact you? Source: https://tuitioncrm.com/help/#request-feature 1. Click Request a feature in the left menu (on a phone: More → Request a feature). 2. At the top, choose Request a feature, Report a bug or Contact us. 3. Describe it in your own words — for a bug, what you did and what went wrong. 4. Add screenshots if they help: click Add under Screenshots (up to 3), or paste one with Ctrl/⌘ + V. 5. If you're happy for us to message you to clarify, add your WhatsApp number (optional). 6. Click Send. Tip: It goes straight to the developer, who reads every one and replies by email. ### Are there keyboard shortcuts? Source: https://tuitioncrm.com/help/#keyboard 1. ⌘ + ↑ / ↓ (Ctrl on Windows) moves up and down the tabs in the left menu. 2. On the Schedule, ⌘ + ← / → moves to the previous or next day, week, month or year. 3. Press Esc to close a pop-up window. ### Is my students' information private? How do I delete my data? Source: https://tuitioncrm.com/help/#privacy 1. Only you can see your students, lessons and invoices. We never sell your data or use it for advertising. 2. To remove one student, open them in Students and click Delete student. 3. To delete your whole account and all its data, email us from your account email (the address is on the Privacy Policy page). We delete it within 30 days. 4. Tell parents you keep their details for lessons, invoices and reminders. The Privacy Policy has example wording you can send on WhatsApp. ### Do I need to save my work? Source: https://tuitioncrm.com/help/#saving 1. No — changes save automatically. 2. Look under your name in the left menu: “All changes saved” means everything is safely stored online. 3. If it says “Offline”, keep working; it saves as soon as you're back online. ## Students Adding students, their details, notes and status. ### Can I bring in my students from Excel or Google Sheets? Source: https://tuitioncrm.com/help/#import-students 1. Go to Students and click Import students. 2. Choose your Excel (.xlsx) or CSV file — or copy your rows in Excel / Google Sheets and paste them in. 3. Check which column is which (we guess for you — only the student's name is needed), then click Next: check students. 4. Untick anyone you don't want, then click Import. Tip: It's optional — you can always add students one by one. Using Google Sheets? File → Download → Microsoft Excel. Students already in TuitionCRM are skipped for you. ### Can I bring in my students from a photo, a WhatsApp list or Google Calendar? Source: https://tuitioncrm.com/help/#import-photo 1. Go to Students and click Import students. 2. Choose From a photo (your notebook or timetable, or screenshots — up to 6), Paste any text (a WhatsApp list, notes), or From Google Calendar (paste your calendar's secret iCal address). 3. Click Read. In about 10–30 seconds you'll see every student we found, with their parent's contact and weekly lessons. 4. Check anything in yellow — a phone number that looks short, an email that looks wrong, a time that was hard to read — and fix it or leave it if it's right. Untick anyone you don't want. 5. Tick I've checked these details and click Import. Their weekly lessons are booked for the next 12 weeks. Tip: Nothing is saved until you click Import. Open the student and scroll to Status. 2. Choose Churned (stopped lessons) or Graduated. 3. If they're still booked, you're asked whether to take them off their upcoming lessons and groups — click OK. Past lessons and invoices stay. 4. They move out of the Active list, can't be booked, and get no lesson emails (reminders for unpaid invoices still go out) — but their history is kept. Tip: On the Students page, use the All / Active / Churned / Graduated tabs to see each list. ### How do I delete a student? Source: https://tuitioncrm.com/help/#delete-student 1. Tip: Each lesson is only paid for once: if the missed lesson was charged (e.g. a short-notice cancel), the make-up is free. If it wasn't charged, the make-up is charged as normal. ### How do I book a make-up lesson? Source: https://tuitioncrm.com/help/#makeup-book 1. Open the student (Students → their name), or go to the Overview page. 2. Under Make-up lessons, click Book make-up next to the missed lesson. 3. Pick the date and time, then click Save. Tip: “Count missed lessons from” lets you ignore older cancellations from before you started using make-up lessons. ### How do I note what to teach in a lesson? At the bottom click Delete (or “Delete this & following” for the rest of a weekly series). ### Other teachers take some of my lessons. How do I give them their students and classes? Source: https://tuitioncrm.com/help/#teachers 1. On Pro Plus or Centre, click Teachers in the menu. Under Add a teacher, type their name, WhatsApp number and email (e.g. Mr Lim, 9123 4567, lim@gmail.com) and click Add. The email is what tells them when their lessons change; the WhatsApp number lets you send their link in one tap. Each teacher needs a different name. Pro Plus includes you + 2 teachers; Centre has unlimited teachers. 2. You're then asked to Send … their schedule link now — click Send schedule on WhatsApp or Email schedule link (or Later). 3. Click Assign students & classes under a teacher's name, tick the students and classes they teach, and click Save. For a student with several subjects, tap the subjects this teacher takes (e.g. A Maths but not E Maths). Their upcoming lessons in those subjects move to that teacher, and new lessons go to them. 4. Click Preview to see exactly what the teacher sees on their link. 5. To take a student, subject or class back, click Assign students & classes on your own card (at the top) and tick it. 6. You can also do it one at a time: open a student (or group), click Edit, and choose the teacher under Usual teacher — one per subject if they have several. For a student, when you click Save you're asked “Move their … upcoming lessons to … too?” — click OK to move their booked 1-to-1 lessons, or Cancel to keep them with the old teacher. A group's upcoming lessons follow its new teacher, except lessons another teacher is covering. 7. To see one teacher's lessons or students, click “… lessons this week” or “… students” under their name on the Teachers page. 8. Click Send schedule on WhatsApp — WhatsApp opens a chat with that teacher, with their private schedule link filled in. Tap send. They see their own lessons, students and classes, mark attendance and write lesson notes, and can add their lessons to their phone calendar — no account needed. 9. Or click Email schedule link — the link is emailed to the teacher from your business name (add their email first). 10. To let a teacher call or message parents, tick Show parents' names and phone numbers on their link under their name. Untick it to hide them again. Tip: The link never shows invoices or fees, and only shows parents' names and phone numbers if you tick Show parents' names and phone numbers on their link. If a link is shared by mistake, click New link — the old one stops working. You get a clash warning when the same teacher, the same student or the same room is booked twice. ### A teacher has left — how do I remove them? Source: https://tuitioncrm.com/help/#teacher-remove 1. Go to Teachers and click Remove under the teacher's name. 2. Read what will happen, then click OK. 3. Their upcoming lessons that haven't started yet move to you (lessons they taught earlier today stay theirs), and their students and classes come back to you. Give them to another teacher with Assign students & classes or Cover lessons. 4. Their past lessons stay under their name, e.g. “Ms Lee (removed)”, so Teacher pay and Income → By teacher still show what they taught. Tip: Their schedule link stops working straight away and they get no more emails. A removed teacher doesn't count towards your plan's teachers. ### What happens to my teachers if I move to a smaller plan? Source: https://tuitioncrm.com/help/#teacher-plan-limit 1. Pro Plus includes you + 2 teachers; Centre has unlimited teachers. Before you switch, the plan page tells you which teachers' links will be paused. 2. After moving from Centre to Pro Plus, your first 2 teachers keep their links. The others' links are paused: they can't open their schedule and aren't emailed about changes. 3. The Teachers page lists them under “Your plan includes 2 teachers — these links are paused”. Click Upgrade, or Remove a teacher who has left, and the next teacher's link works again. ### Can my teachers mark attendance and write lesson notes? Source: https://tuitioncrm.com/help/#teacher-attendance 1. Send each teacher their schedule link (Teachers → Send schedule on WhatsApp). 2. On the day of a lesson (or after), the teacher opens their link. Under the lesson they tap Came or Absent for each student. 3. They tap Add lesson notes to write what they covered, homework or how it went, then Save note. 4. It's saved straight to your account: attendance shows on the lesson and the student's page, make-ups owed update by themselves, and the notes appear in the student's lesson history. 5. Forgot to mark one? They tap Show past lessons (last 30 days) to mark lessons up to 30 days back. Tip: Teachers can only mark their own lessons. Tapping Came or Absent again clears it. Their link refreshes by itself every few minutes and when they come back to it, so your changes show up. ### Can I make the calendar bigger? Source: https://tuitioncrm.com/help/#schedule-full-screen 1. Go to Schedule and click Full screen (next to Sync calendar). 2. The menus hide and the calendar fills the screen — on a computer, the whole monitor. 3. Click Exit full screen (or press Esc) to go back to the normal view. ### A teacher is away — how do I give their lessons to someone else? Source: https://tuitioncrm.com/help/#cover-lessons 1. Go to Teachers and click Cover lessons on the teacher who's away (or Cover my lessons on your own card). 2. Choose the dates they're away and who takes their lessons. Untick any lesson that shouldn't move. 3. If the teacher you picked is on leave or already has a lesson at that time, you're warned and shown which lessons. Untick those or choose someone else — or click Give … lessons to … anyway. 4. Click Give … lessons to …. The lessons move to the other teacher's schedule link straight away. 5. Keep Tell the parents ticked to see a ready-written message to check, then send it by email or WhatsApp. Tip: Both teachers are emailed about changes to lessons in the next 90 days if they have an email saved and Email them when their lessons change ticked on the Teachers page. ### How do I mark a teacher's leave? Source: https://tuitioncrm.com/help/#teacher-leave 1. Go to Teachers and click Add leave on the teacher. 2. Choose the dates (and a reason if you like — only you see it), then click Add leave. 3. It shows on your Schedule, and you're warned if you book them during it. 4. If they have lessons in that time, click Cover these lessons to give them to another teacher. 5. Lessons still booked in their leave (or a teacher booked for two lessons at once) in the next 8 weeks show under Needs attention at the top of Schedule. Click Open lesson to change its Teacher or time. ### Will my teachers know when I change their lessons? Source: https://tuitioncrm.com/help/#teacher-emails 1. Go to Teachers and type each teacher's email address — when you add them, or in the email box next to their WhatsApp number. 2. Keep Email them when their lessons change ticked. 3. When a lesson today or tomorrow is cancelled, brought back, moved, changed (length, room or place) or given to someone else, they're emailed straight away. Other changes (new lessons, changes further ahead) come as one summary email a few minutes later. 4. Every email has their schedule link — if you haven't made it yet, it's made for them. 5. Their schedule link also marks changed lessons, e.g. "Changed · Moved from Thu 6 Nov, 4:00pm". Tip: Changes a teacher makes themselves (attendance and notes) don't send emails. A teacher with no email shows “No email — they won't be told about changes” on the Teachers page: add their email, or send their link on WhatsApp. ### How do I stop two classes being booked in the same room? Source: https://tuitioncrm.com/help/#rooms 1. Go to Settings → Business and add your rooms under Rooms, e.g. Room A, Room B. 2. When you book a lesson or edit a group with the location set to your centre, choose its Room. 3. If the room is already booked at that time, you're warned before saving (and when you reschedule a lesson). 4. Teachers and parents see the room with the lesson, e.g. "Bright Minds · Room A". ### How do I send one message to every parent in a class? Source: https://tuitioncrm.com/help/#message-class 1. Go to Students → Groups and open the class. 2. Click Message parents. 3. Write your message — {parent} and {student} are filled in for each parent. Untick anyone who shouldn't get it. 4. Click Send. Parents with an email are emailed at once; for the rest, tap WhatsApp next to each one and send. Tip: Sending by email is part of Pro. On Free you can still send each parent a WhatsApp in two taps. ### How do I give my admin staff their own login? Source: https://tuitioncrm.com/help/#staff-logins 1. Go to Settings → Staff. 2. Type their name and email and click Invite admin. They get an email to set their password. 3. They sign in on the normal Sign in page with their own email and password, and work in your account. 4. To stop someone's access, click Remove — they're signed out straight away. Tip: Admins can manage students, lessons, teachers, invoices and parents. Only you (the owner) can see income, expenses and analytics, change PayNow and business details, pay teachers, manage the plan and staff, or download a backup. Teachers don't need a login — they use their schedule link. Pro Plus includes 1 admin; Centre unlimited. ### How do I work out what to pay my teachers? Source: https://tuitioncrm.com/help/#teacher-pay 1. Go to Teachers. Under each teacher, choose how they're paid — per lesson, per hour or % of fees — and type the amount (e.g. 40, or 50 for 50%). 2. Scroll down to Teacher pay. Each teacher's lessons, hours and pay for the month are worked out from the lessons they taught — absent and cancelled lessons don't count. 3. Use the arrows to see another month. 4. After you pay a teacher, click Mark paid. It's added to your expenses in Income as Teachers' pay. Click Undo if you marked it by mistake. Tip: % of fees uses what those lessons are billed to parents. Teachers are part of Pro Plus (you + 2 teachers) and Centre (unlimited). ### How do I add my own key dates (e.g. a school's prelims)? Source: https://tuitioncrm.com/help/#my-key-dates 1. Go to Schedule and open the Key dates tab. 2. Under Your key dates, type the Name of event (e.g. “RI prelims”) and choose the Date. 3. Click Add. It shows in yellow on your Schedule, like exam dates, with a countdown at the top. Tip: To remove one, click the bin next to it. You can also add one from Schedule → Add exam, which lets you pick the students taking it. ### How do I add a personal event (e.g. my sister is in town) but still book lessons? Source: https://tuitioncrm.com/help/#personal-event 1. In Schedule, click Add event. 2. Type what it is (e.g. “Sister in town”), choose the dates (e.g. 1 Oct to 4 Oct), and either All day or a start and end time. 3. Click Save. It shows on your calendar in purple. You can still book lessons on those days — you won't get a clash warning. Tip: Can't teach at all then? Use Block time instead — it warns you if you book a lesson over it. ### My weekly lessons fall on a public holiday or a day I've blocked. How do I skip those? Source: https://tuitioncrm.com/help/#repeat-clashes 1. Book the lesson as usual (New lesson) and choose Every week (or Every 2 weeks / Every month) under Repeat. 2. If any dates fall on a public holiday or your blocked time, a yellow box lists them. 3. For each date, choose No lesson (skipped) or Lesson goes ahead. Skipped dates start as No lesson. 4. Click Save. Only the dates that go ahead are booked — the box tells you how many. Tip: Skipped dates aren't billed and no reminders go out. Need a lesson on one later? Book it on that date as usual. ### How do I block out time when I'm not available? Source: https://tuitioncrm.com/help/#block-time 1. In Schedule, click Block time. 2. Type what it is (e.g. “Family trip”), choose the dates, and either All day or a start and end time. 3. Click Save. You'll be warned if you try to book a lesson then. Tip: Something every week, like choir on Tuesdays 2–4pm? Under Repeat, click Every week, tap the days (Tue), and set the times. It keeps going until you untick “Keeps going (no end date)” and pick an Until date. To delete it, click it on the calendar and click Delete: choose “Only this day” (e.g. choir is off one week) or “This day and all future days” (it has stopped). ### How do I show my Google, Apple (iPhone) or Outlook calendar in the schedule? Source: https://tuitioncrm.com/help/#calendar-sync 1. In Schedule, click Sync calendar. 2. Under Add a calendar, pick Google, Apple (iPhone) or Outlook and follow the steps shown to copy your calendar's link. 3. Paste it into the app and click Connect calendar. 4. Your meetings appear as busy time within about 10 minutes. Tip: The app only reads your calendar — it never changes it. Keep the link private. ### How do I see my lessons in my phone's calendar? Source: https://tuitioncrm.com/help/#lesson-feed 1. In Schedule, click Sync calendar. 2. Under “Show my lessons in my phone's calendar”, click Set up my calendar link. 3. On your iPhone, tap iPhone / Mac, then Subscribe. For Google Calendar, click Google Calendar on a computer, then Add. (Outlook: Copy link.) 4. Optional: choose “Remind me” to get an alert before each lesson. Tip: With teachers, lessons someone else teaches show their name, e.g. “Sec 3 Maths · Mr Lim”. It's one-way, from TuitionCRM to your phone: when you book, move or cancel a lesson in TuitionCRM, your phone calendar updates by itself (within about an hour on iPhone; Google can take a few hours). Changes made in your phone calendar don't come back to TuitionCRM — always change lessons in TuitionCRM so parents are told and invoices stay right. ### How do I stop syncing a calendar? Source: https://tuitioncrm.com/help/#calendar-unsync 1. In Schedule, click Sync calendar. 2. Next to the calendar, click Stop syncing and confirm. 3. Its busy times disappear from your schedule. Nothing in your own calendar is changed. Tip: For Apple calendars you can also turn off Public Calendar on your iPhone, which stops the link working everywhere. ### How do I add a school exam date? Source: https://tuitioncrm.com/help/#add-exam 1. In Schedule, click Add exam. 2. Type the exam name, choose the date(s), and tick the students taking it. 3. Click Save. A countdown appears at the top of the Schedule and Overview pages. Tip: O-Level, A-Level and PSLE Maths papers and Singapore public holidays are added for you. Don't want the countdown at the top of the Schedule? Click Hide next to “Coming up” (click “Show exam countdown” to bring it back). ### How do I switch between day, week, month and year? Source: https://tuitioncrm.com/help/#calendar-views 1. Use the Day / Week / Month / Year buttons above the calendar. 2. Click a date to see its lessons on the right; double-click it to open that day. 3. Use the arrows (or ⌘ + ← / → on a Mac, Ctrl on Windows) to go back and forward. 4. Add the unit number (e.g. #05-67), then click Check on map to make sure it's the right place. 5. Parents see a Directions button on their page that opens Google Maps at that address. ## Invoices & payments Billing parents, PayNow, and chasing late payments. ### How do I bill all my students at the end of the month? Source: https://tuitioncrm.com/help/#bill-everyone 1. Go to Invoices and click Bill everyone. 2. Check the month at the top (before the 15th it picks last month). Every student's invoice is worked out from their lessons and how you charge them. 3. Untick anyone you don't want to bill — students already invoiced for that month are skipped. Click a name to see the lines. 4. Click Create invoices, then send them: WhatsApp one by one, or Email all for parents with an email address. Tip: You can still open and edit any invoice afterwards. ### How do I see invoices from a certain month or period? Source: https://tuitioncrm.com/help/#invoice-dates 1. Go to Invoices and click the date button above the totals (it starts on All time). 2. Choose This month, Last month, This year, the last 7 / 30 / 90 days, or pick your own dates. 3. The list and the totals now only include invoices issued in that period (Paid shows money received in it). Tip: Not sure what a button does? Hover over Bill everyone, Send, Remind or Paid for a short explanation. ### Can I save my usual prices so I don't type them for every student? Source: https://tuitioncrm.com/help/#your-prices 1. Go to Invoices → Settings → Your prices (Set your prices). 2. Fill in your usual 1-to-1 and group rates. Add only the subjects that cost more or less (tap + A Maths, + H2 Maths…), plus any monthly fees, lesson packages and one-off charges like a registration fee. 3. Click Save prices. 4. Now Add student fills in your usual rates, and each subject's price when you add the subject. Monthly fees, packages and charges appear as “From your prices” buttons — one tap fills them in. 5. In New invoice, the same “From your prices” buttons add a line with the price filled in. Tip: Each student keeps their own copy of the price, so you can still give one student a special rate. Your prices are optional — you can always type prices on the student instead. ### Can I charge per lesson instead of per hour (e.g. $50 a group class)? Source: https://tuitioncrm.com/help/#per-lesson-rate 1. Go to Invoices → Settings → Your prices. 2. Next to the 1-to-1 or Group rate, change “per hour” to “per lesson”, type the price for one lesson, and click Save prices. You'll be asked whether to update students already on your old price. 3. For one student: open the student, click Edit, and change “per hour” to “per lesson” next to their rate. Tip: Per lesson means the same price however long the lesson runs. Each can be set separately, e.g. 1-to-1 per hour and group classes per lesson. ### How do I raise my prices? Source: https://tuitioncrm.com/help/#raise-prices 1. Go to Invoices → Settings → Your prices and change the price, e.g. your usual 1-to-1 rate from $60 to $65. 2. Click Save prices. You'll see every student still on the old price. 3. Untick anyone who should keep the old price (e.g. long-time students), then click Update. Tip: Invoices already made don't change — only new invoices use the new price. Changing a price takes effect for lessons billed from then on, so tell parents before the new month. ### Can I charge a monthly fee or sell lesson packages instead of per lesson? Source: https://tuitioncrm.com/help/#charging-plans 1. Open the student and, under Fees & charges, click “Change how they're charged” (or click Edit at the top). 2. Under Fees → How do you charge?, choose Per lesson, Monthly fee or Package. 3. Monthly fee: the same amount every month, however many lessons. Package: e.g. 10 lessons for $550 — lessons are counted down on the student's profile, and the next package is billed when it runs low. 4. Tick “Give a discount” for things like a sibling discount, then click Save. Tip: You can also change it while billing: in New invoice, choose the student and click Change — it's saved to the student. Bill everyone uses the same settings. ### I teach a student more than one subject at different prices. How do I set that? Source: https://tuitioncrm.com/help/#subject-prices 1. When adding or editing a student, add each subject under Subjects — type it and press Enter, or tap a suggestion like + A Maths or + Physics. Start typing (e.g. “HL” or “H1”) to see more, like IB HL Maths or H1 Maths. 2. Per lesson: under Price per subject, type a price only for subjects that cost more or less. Empty means the usual rates. 3. Monthly fee: click “Set a fee for each subject” — each fee is its own line on the invoice. 4. Click Save. When you book a lesson, pick the subject in the Subject box so the right price is used (group lessons use the group's name, e.g. “Sec 4 A Maths Group”). ### Can I bill every 2 weeks, or after every few lessons? Source: https://tuitioncrm.com/help/#billing-frequency 1. Open the student → Change how they're charged, and keep Per lesson. 2. Under Bill every, choose Month, 2 weeks, or Few lessons (and how many, e.g. 4). 3. Click Save. Bill everyone shows them whenever they're due, and a lesson is never billed twice. Tip: Packages bill themselves when they run low; monthly fees are billed once a month. ### How do I set my billing day? Source: https://tuitioncrm.com/help/#billing-day 1. Go to Invoices → Settings → Billing day. 2. Pick the day (e.g. the 1st), whether per-lesson bills cover last month's lessons or this month in advance, and which month monthly fees are for (usually this month, paid in advance). 3. Tick “Email me on billing day” if you'd like a reminder, then click Save. 4. From that day, the Overview and Invoices show “Billing is ready” — click it to check and send everyone's invoices. ### How do I charge a registration fee, materials or a deposit? Source: https://tuitioncrm.com/help/#charges 1. When adding or editing a student: under Fees → One-off charges, click + Registration fee, + Deposit, + Materials fee or + Other and enter the amount. 2. Or open the student → Fees & charges → Add a charge. 3. It's added to the student's next invoice automatically (Fill items and Bill everyone include it). 4. Making an invoice by hand? In New invoice, use the same + buttons under the lines — or the “From your prices” buttons if you've saved your prices. Tip: Deposits stay listed as “Deposit held”. When a student leaves, click Refund deposit — it's taken off their next invoice as a credit. ### Can parents get automatic reminders when they haven't paid? Source: https://tuitioncrm.com/help/#overdue-emails 1. Go to Reminders in the menu and make sure Automatic emails is on. 2. Turn on Payment overdue, and choose when it goes out (e.g. 3 and 10 days after the due date). 3. Edit the message if you like — your PayNow details are included for you. Tip: It's off unless you turn it on. If the parent tapped “I've paid” on their parent page, reminders pause for 14 days (or until you click Not received). ### How do I bill a parent for the month on WhatsApp? Source: https://tuitioncrm.com/help/#bill-whatsapp 1. Open the student and click Bill on WhatsApp. 2. Choose the month — the lessons and total are filled in. 3. Check the message and click Create invoice & send. WhatsApp opens with the message ready. 4. Then click Share invoice image to send the invoice with its PayNow QR code. ### How do I make an invoice? Source: https://tuitioncrm.com/help/#new-invoice 1. Go to Invoices and click New invoice. 2. Choose the student and the month, then click Fill items to add their lessons. 3. Enter your PayNow mobile number and the name parents will see, and click Save. 3. Every unpaid invoice now has a QR code with the amount filled in. 4. Parents save the invoice image and choose “scan from gallery” in PayLah! or their banking app. Tip: Test it by scanning with your own PayLah! — your name should appear. You don't need to pay. ### How do I send the invoice as a picture? Source: https://tuitioncrm.com/help/#send-invoice-image 1. Open the invoice (Invoices → View) or click Send / Remind. 2. Click Share invoice image (on a phone) or Download invoice image (on a computer). 3. Send it to the parent on WhatsApp. ### Someone hasn't paid. How do I remind them? Source: https://tuitioncrm.com/help/#remind 1. Go to Invoices — overdue ones are marked in red. 2. Click Remind next to the invoice. 3. Send the invoice image, then click WhatsApp (or Email) to send the polite reminder. Tip: Analytics → Unpaid invoices lists everyone who owes you money, most overdue first. ### A parent paid. How do I mark it? Source: https://tuitioncrm.com/help/#mark-paid 1. Go to Invoices and click Paid next to the invoice. 2. Paid on a different day? Open the invoice and change “Paid on” — Income counts the money in that month. 3. Made a mistake? Open the invoice and click Mark unpaid. ### How do I find a parent's invoices, or sort the list? Source: https://tuitioncrm.com/help/#find-invoice 1. Go to Invoices and type in the search box above the list — a student's name, a parent's name, or an invoice number (e.g. INV-0012). 2. The list and the totals at the top now only show that parent's invoices — e.g. how much Mrs Tan still owes. 3. Use the menu next to the search box to sort: newest or oldest first, student name, parent name, amount, or due date. ### How do I send my PayNow QR to someone (not an invoice)? Source: https://tuitioncrm.com/help/#my-paynow-qr 1. Go to Settings → PayNow. 2. Optionally type an amount and reference. 3. Click Share QR image (or Copy PayNow number) and send it. ### How do I change the currency (e.g. from SGD to RM)? Source: https://tuitioncrm.com/help/#currency 1. Click Settings in the left menu (on a phone: More → Settings). 2. On the Profile tab, under Currency, choose yours — e.g. MYR — Malaysian Ringgit (RM) — and click Save. 3. Every price, invoice, total, income statement and email to parents now shows the new currency. Tip: Changing the currency changes the symbol, not the amounts — prices you've already set aren't converted, so update them if needed. PayNow QR codes only work in SGD. You can also change it in Invoices → Settings. ### How do I change the currency, due date or message wording? Source: https://tuitioncrm.com/help/#invoice-settings 1. Go to Invoices and click Settings. 2. Change the currency, “Payment due after (days)”, or how parents should pay. 3. Edit the WhatsApp message wording under WhatsApp / email messages, then click Save. Tip: Adult student who pays for themselves? Put their own name as the parent's name — messages then say “your lessons” instead of “Adeline's lessons”. ### Should short-notice cancellations be charged? Source: https://tuitioncrm.com/help/#short-notice-charge 1. Go to Invoices → Settings. 2. Tick or untick “Charge for short-notice cancellations and no-shows” and click Save. 3. Cancellations made in advance are never charged. ## Parent page A private link for each parent: lessons, invoices, PayNow and make-ups. ### What is the parent page? Source: https://tuitioncrm.com/help/#parent-page-what 1. It's a private web page for each parent — no app or password needed. 2. Parents see the next lesson (with the address or Zoom link), upcoming lessons, invoices with your PayNow QR, make-up lessons, and key exam dates — PSLE, O-Level or A-Level dates for their child's level (with the official SEAB/MOE source), plus any exams you add. 3. Brothers and sisters with the same parent phone or email share one page. 4. Parents never see other students, your private notes, or other parents' invoices. 5. At the bottom, parents can share TuitionCRM with their child's other tutors on WhatsApp — it never includes your page or their details. Tip: Want to see it first? Open any student and click Preview. ### How do I send a parent their page? Source: https://tuitioncrm.com/help/#parent-page-send 1. Every student has a parent page already — you don't need to make one. 2. Add the parent's email (open the student, click Edit, fill in Parent's email, Save) and the page is emailed to them automatically, from your name. 3. To send it on WhatsApp instead: open the student, and under Parent page click Send on WhatsApp — a ready-made message opens with the link. Or click Copy and paste it anywhere. Tip: The link is also in every invoice and reminder email you send that parent, so they can always get back to it. ### How do I give a student their own page? Source: https://tuitioncrm.com/help/#student-page 1. Go to Students and open the student. 2. Click Edit and add the student's own email (and phone, for WhatsApp). Save — their page is emailed to them automatically. 3. Or, under Student page, click Create student page link, then Send on WhatsApp, Email or Copy. Tip: The student page shows only that student — upcoming lessons with the address or online link, make-ups and exams. Fees stay on the parent page, unless you tick “pays for their own lessons” (for JC or adult students). Preview it with the Preview button. ### Can students get emails too? Source: https://tuitioncrm.com/help/#student-emails 1. Go to Reminders. 2. Under Students, “Email students their own page” sends a student their page when you add their email (on unless you turn it off). 3. Turn on “Lesson emails to students too” and lesson reminders, changes and the monthly schedule also go to students who have an email. Tip: Payment reminders only ever go to the parent. For one student, choose parent / student / both under Email reminders on their profile. ### Is the parent page emailed automatically? Source: https://tuitioncrm.com/help/#parent-page-auto 1. Yes — when you add a parent's email, they get a welcome email from your name about 10 minutes later, with their parent page and the lessons you've booked. (The wait gives you time to book their lessons first.) 2. No lessons booked yet? It waits up to a day for you to book some, then sends just their page. 3. It works on every plan, even with automatic emails off. To stop it, untick “Send a welcome email with their parent page” in Invoices → Settings → Parent page (or switch off Welcome + parent page in Reminders). Tip: Brothers and sisters with the same parent share one page, so the parent gets one welcome, not one per child. Students imported from a spreadsheet don't get one — send theirs from the student's page. ### How do I record a student's test and exam results? Source: https://tuitioncrm.com/help/#results 1. Open the student and find Results. Click Add result. 2. Type the test or exam (for example Mid-year exam), the subject and the score in your own words — a grade like B, or a mark like 72%. Click Save. 3. Got a whole round of results back? Go to Students and click Add results: name the test once, then type each student's score. 4. Each subject shows where the student started and where they are now. Parents see the same on their parent page, under Progress. Tip: Parents can add a result from their page too — you'll see it marked “Added by parent”. Click Keep to add it, or the bin to remove it. To keep one student's results off their parent page, untick Show on parent page on their Results card; to hide results for everyone, untick Show results to parents in Invoices → Settings → Parent page. ### How do I see which emails a parent has been sent? Source: https://tuitioncrm.com/help/#family-emails 1. Go to Students and open the student. 2. Scroll to Emails near the bottom: every email sent about them (and brothers or sisters with the same parent) — welcome, reminders, lesson changes, invoices and payment reminders — newest first. 3. Tap one to read it as it was sent. Each shows who it went to, and Sent or Not sent. (Click Turn off to switch the page off completely — it stays off until you click Make a new link.) ### A parent tapped “I've paid”. What now? Source: https://tuitioncrm.com/help/#parent-page-paid 1. Source: https://tuitioncrm.com/help/#tutor-website 1. Go to Get students in the menu (on a phone: More → Get students). The Website tab opens, already started for you with your name and subjects. 2. In the Content tab, under About you, click Add your photo and write one line about you, e.g. O-Level & A-Level Maths · Bishan. 3. Under What's on your page, tick what to show — its words open underneath for you to change. Use the arrows to change the order. 4. Open the Design tab to choose your Lettering (the font) and a Colour — or pick your own colours for the main colour, background, boxes and words. 5. Check the Preview on the right (on a phone, tap Preview how it looks). Switch between Phone and Computer to see both, then click Save changes. 6. Click Publish my website. Your address is tuitioncrm.com/tutors/your-name — change it in Website address if you like. 7. Click Copy link or Share on WhatsApp to send it, or QR code to download a QR code for flyers. Tip: Parents can WhatsApp you or fill in the enquiry form. Your website shows up on Google over time — add the link to your Google Business Profile, Carousell listing and tuition agency profiles to help. ### Where do enquiries from my website go? Source: https://tuitioncrm.com/help/#website-enquiries 1. You're emailed each enquiry, and a red number appears next to Get students in the menu. 2. Go to Get students → Website and open the Enquiries tab. A red number shows how many are waiting. 3. Tap WhatsApp (or Email) to reply. 4. If they sign up, tap Turn into a student — the Add student form opens with the parent's name, contact and subject filled in. 5. Tap Done to move an enquiry out of the way, or Delete to remove it. ### How do I add a WhatsApp or Telegram button to my website? Source: https://tuitioncrm.com/help/#website-whatsapp 1. Go to Get students → Website and open the Stats tab. Choose 7 days, 30 days or 90 days. 2. Visitors: people who opened your website (each person once a day). 3. Got in touch: the share of visitors who sent the enquiry form or tapped WhatsApp. 4. Enquiry form: how many visited, started filling in the form, and sent it. 5. Visitors each day: a chart — handy to see if a post or flyer brought people in. Tip: Search engines and link previews aren't counted, so the numbers are real people. ### How do I share free notes (PDFs) and get leads from them? Source: https://tuitioncrm.com/help/#free-notes 1. Go to Get students → Website → Content, and tick Free notes (PDF). 2. Click Upload a PDF and choose the file (up to 10 MB). Give it a title people will understand, e.g. A-Maths formula sheet. 3. Tick both boxes to confirm it's your own material — not a school exam or prelim paper, an SEAB past-year paper, or pages from a publisher's book — then click Upload. 4. Your PDF shows on your website and as a button on your link in bio. People leave their name and WhatsApp or email, and the download starts. 5. Everyone who downloads appears in Website → Enquiries marked Downloaded free notes, ready to WhatsApp or turn into a student. Downloads are counted in the Stats tab. Tip: Free includes 1 PDF; Pro and Centre up to 10. To let anyone download without leaving details, untick Ask for their name and WhatsApp or email first. ### How do I change how my website looks? Under Templates, tap a design you like — it sets the fonts, colours and buttons for your website and link in bio in one go. 3. Fine-tune anything below: Lettering, Colour (or your own colours) and Buttons (rounded, pill or square; filled, outline or shadow). 4. Check the Preview, then click Save changes. Tip: Leave Words alone and they turn dark or white by themselves so they're easy to read. If you pick colours that are hard to read, you'll see a warning with Fix it for me. ### How do I show testimonials on my website (Wall of love)? Source: https://tuitioncrm.com/help/#website-videos 1. Go to Get students → Testimonials. 2. Under any video, written testimonial or WhatsApp screenshot, turn on Show on my website. It's saved straight away. 3. It appears on your website under What parents say, with your Google rating on top if you've added it (Website → Content → Google reviews). Up to 12 can show. 4. To change the order or the name shown, go to Get students → Website → Content → Wall of love (what parents say), use the arrows, then click Save changes. Tip: We show a short name like Mrs L., never the parent's full name. Under a video, you can add a sentence from its transcript as the quote. ### How do I add a WhatsApp screenshot of a kind message? Source: https://tuitioncrm.com/help/#add-screenshot 1. Take a screenshot of the parent's message on your phone. 2. Click Undo if you cover too much. 4. Choose the student (or type the parent's name), add what it says in words if you like, tick The parent said I can share this, and click Save screenshot. Tip: Only the blurred picture is saved — the original stays on your phone. Click the share button (the three dots joined by lines) on any written testimonial, screenshot, or video with a transcript. 3. On a phone, your share menu opens — choose WhatsApp, Instagram or anywhere else. On a computer, the picture downloads. Source: https://tuitioncrm.com/help/#link-in-bio 1. Go to Get students and open the Link in bio tab. 2. Click Add a link. Choose WhatsApp, Instagram, TikTok, Telegram or another kind, and type your number, username or link. Change the button text if you like. 3. Click Copy link and paste it into the website or bio field of your Instagram, TikTok and Telegram profiles. Tip: Every plan can choose any colours and lettering. Free includes 3 links; Pro up to 20 links, and how many taps each link gets. ### What's the difference between my website and my link in bio? Source: https://tuitioncrm.com/help/#website-vs-bio 1. Your website (tuitioncrm.com/tutors/your-name) is a full page about you: subjects, results, parents' videos, questions and an enquiry form. Send it to parents and put it on Google and tuition agency profiles. 2. Your link in bio (tuitioncrm.com/@yourname) is a short page of buttons: WhatsApp, Instagram, TikTok and your website. Put it in your social media bios. 3. Both share the same photo, name and colour, so you set those up once. ### How do I find my Google review link? Source: https://tuitioncrm.com/help/#google-review-link 1. You need a Google Business Profile — free at business.google.com. Tutors who teach at students' homes can hide their address and show the areas they cover instead. 2. On a computer, search Google for your business name while signed in to the same Google account. Your profile's controls appear above the results. (On a phone, open the Google Maps app → You → Your business.) 3. Click Ask for reviews (sometimes under Read reviews → Get more reviews). 4. Click Copy link. It looks like https://g.page/r/…/review. 5. In TuitionCRM, go to Settings → Business, paste it under Google reviews and click Save. Click Test your link to check it opens your review box. Tip: A link that starts maps.app.goo.gl opens your listing instead, so parents have to find Write a review themselves — the Ask for reviews link is easier for them. ### How do I ask a parent for a Google review? Source: https://tuitioncrm.com/help/#ask-google-review 1. Go to Get students in the menu (on a phone: More → Get students), open the Google reviews tab and click Ask for a Google review. Or open a student and click Ask for a Google review in the Testimonials box. 2. If you haven't added your review link yet, paste it in first — you only do this once. 3. Choose the student. A ready-written message with your link appears; change it if you like. 4. Click WhatsApp, Email or Copy. TuitionCRM remembers when you asked each parent, so you don't ask twice by mistake. Tip: Parents who send a video testimonial are also offered your Google review link on the thank-you screen. Google doesn't tell apps who left a review, so check your Business Profile to see new ones. ### How do I ask a parent for a testimonial? Source: https://tuitioncrm.com/help/#ask-testimonial 1. Go to Get students in the menu (on a phone: More → Get students), open the Testimonials tab and click Ask a parent. Or open a student and click Ask for a testimonial in the Testimonials box. 2. Choose the student. A private link for their parent is made, with a ready-written message you can change. 3. Click WhatsApp to send it from your phone's WhatsApp, Email to send it by email in your business name, or Copy to paste it anywhere. 4. The parent opens the link on their phone or computer and either writes a few lines, or turns on the camera and answers your questions, which show on screen one at a time. 5. You'll get an email when it arrives, and a red number appears next to Get students in the menu. Tip: The best time to ask is right after good news — a great result, or when a parent thanks you. Links work for 30 days; asking the same parent again gives the link another 30 days. ### Can I ask several parents at once? Source: https://tuitioncrm.com/help/#ask-several 1. Go to Get students and click Ask several parents at once on the Testimonials tab, or Ask several on the Google reviews tab. 2. Tick the parents (or click Everyone not asked yet), then click Next. 3. Click Email the parents with an email address to send those in one go. 4. For the rest, tap WhatsApp next to each parent — your phone opens the chat with the message ready. Press send, come back, and tap the next one. Tip: Each parent's message has their own name in it. To change the words for one parent, ask from their student page instead. ### What is “A good time to ask for a review” on my Overview? Source: https://tuitioncrm.com/help/#ask-suggestions 1. When a parent reaches 3 months, 6 months, 1 year or 2 years with you, they're suggested on your Overview — a happy, settled parent is the best one to ask. 2. Click Google review or Testimonial to ask them straight away, or Not now to hide them for 4 months. 3. Parents you've asked in the last 4 months aren't suggested again. ### Can parents leave a review from their parent page? Source: https://tuitioncrm.com/help/#parent-page-review 1. Yes. Once their child has had a lesson, a parent's page shows Happy with the lessons? near the bottom, with Leave a Google review (if you've added your link), Write a few lines and Record a short video. 2. Both open their own testimonial page — what they send arrives in Get students → Testimonials like any other. 3. To turn it off, go to Get students → Testimonials → Asking automatically and switch off Ask on parent pages. Tip: Videos count towards your plan's limit; written ones never do. If you've used all your videos, only Write a few lines shows. ### What if a parent forgets to reply? Source: https://tuitioncrm.com/help/#testimonial-reminder 1. 3 days after you ask, parents whose email you have get one gentle reminder email in your name — only once, and only if they haven't replied yet. 2. In Get students → Testimonials → Waiting for, parents without a reminder show Send a reminder: tap it to send a friendly WhatsApp nudge yourself. 3. To stop the automatic email, go to Get students → Testimonials → Asking automatically and switch off Email one reminder after 3 days. ### Can a parent send a video they already filmed? Source: https://tuitioncrm.com/help/#testimonial-upload 1. Yes. On their recording page, under Turn on my camera, they tap Already filmed it? Upload a video and choose it from their phone. 2. Videos up to 3 minutes long work. They watch it back, tick the box to agree, and tap Send. Tip: iPhones send .mov videos — they play in Safari and on iPhones, and in most other browsers too. Download it if your browser can't play it. ### Can I get what the parent said as text? Source: https://tuitioncrm.com/help/#testimonial-transcript 1. Yes — each video is written out automatically a few seconds after it arrives. 2. In Get students → Testimonials, click Transcript under the video to read it, and Copy the words to paste them into a post, your website or a flyer. 3. If it says Couldn't write out this video, click Try again. Tip: It's written out by a computer, so check names, school names and subjects before you post it. ### How do I change the questions or headline parents see? Source: https://tuitioncrm.com/help/#testimonial-questions 1. Go to Get students → Testimonials and scroll to What parents see. 2. Change the Headline, the Instructions, or any question. Click Add a question for more (up to 8), or the bin to remove one. Questions show as ideas when parents write, and on screen when they record. 3. Click Preview what parents see — you can try writing or the camera there too; nothing is sent. Tip: 3–5 short questions work best. Click Use the suggested wording to go back to ours. ### How do I watch, download or delete a video? Source: https://tuitioncrm.com/help/#testimonial-download 1. Go to Get students → Testimonials. Each video is under Received — press play to watch it. 2. Click the download arrow to save it to your phone or computer, ready to post on Instagram, Facebook or your website. 3. Click the bin to delete it. Download it first if you want to keep it — deleting can't be undone. Tip: iPhones record MP4 videos. Some Android phones and computers record WebM — if your editing app won't open one, a free converter like CloudConvert turns it into MP4. ### How many video testimonials can I collect? Source: https://tuitioncrm.com/help/#testimonial-limits 1. Free: 1 video. Pro: 20 a year. Centre: 150 a year. The year starts again on the date you started paying. 2. A video counts when it arrives. Deleting it doesn't give it back. 3. Your count is shown at the top of Get students → Testimonials. 4. Written testimonials and WhatsApp screenshots are unlimited on every plan. Once your videos are used up, parents you ask are offered Write a few lines instead. 5. Links you sent earlier still work — if a video arrives with none left, it waits, locked, until you upgrade or your new year starts. ### A parent says the camera or microphone doesn't work — what do I tell them? Source: https://tuitioncrm.com/help/#testimonial-parent-help 1. When the browser asks to use the camera and microphone, they need to tap Allow. If they tapped Don't allow: on iPhone, tap aA in Safari's address bar → Website settings → allow Camera and Microphone; on Android, tap the lock icon by the address → Permissions. 2. If they opened the link from Instagram, Facebook or TikTok, those apps' built-in browsers can't use the camera — tap ⋯ → Open in browser. 3. The page only lets them start recording once it can hear them — the sound bar turns green when they speak. If it doesn't move, check the phone isn't on mute and no Bluetooth earphones are connected. 4. If the video won't send, they can keep the page open and tap Send again — the video stays on their phone until it's sent. ## Email reminders Automatic emails to parents. ### How do I send automatic lesson reminders by email? Source: https://tuitioncrm.com/help/#turn-on-emails 1. Go to Reminders in the menu (on a phone: More → Reminders). 2. Switch on Automatic emails. 3. Switch on the emails you want: Welcome + schedule, Lesson reminder, Lesson moved, Lesson cancelled, Monthly schedule, Payment overdue. 4. For Lesson reminder, choose when it's sent (e.g. the day before at 8pm). ### How do I change what the emails say? Source: https://tuitioncrm.com/help/#edit-email 1. In Reminders, click Edit message under the email. 2. Pick a style (Friendly, Short, Formal) or type your own words. 3. The preview shows exactly what parents will get. Click Send me a test to try it. Tip: Words in {curly brackets} are filled in for you, like {student} and {date}. ### How do I stop emails for one student, or send them to the student too? Source: https://tuitioncrm.com/help/#emails-one-student 1. Open the student and find Email reminders. 2. Choose Email the parent, Email the student, Email both, or Don't email. Tip: Don't email stops lesson emails. Reminders about unpaid invoices still go to the parent, so money owed is never forgotten. ### Why do the emails come to me instead of the parents? Source: https://tuitioncrm.com/help/#test-mode 1. The app is in test mode until an email domain is set up, so you can safely see what parents would get. 2. Each test email's subject shows who it would have gone to. 3. Ask whoever set up the app to finish the email setup when you're ready. ## Analytics & key dates How your teaching and payments are going. ### How much have I earned this year? Source: https://tuitioncrm.com/help/#income 1. Click Income in the left menu (on a phone: More → Income). 2. Choose Year or Month at the top, and use the arrows to go back to earlier years or months. In a record month you'll see a celebration banner! 3. The boxes show what you received, your expenses, your profit and what's still owed (with hours taught and earnings per hour underneath). A green ▲ or red ▼ shows the change from the previous year or month (for the current one, compared with the same point last time). 4. The chart can show Bars, a Line (with last year or last month dashed for comparison) or a Table with exact amounts. 5. Under Customers: new students, average invoice (AOV), average lifetime value per current student, and churn (students who left). 6. Below: what each parent paid, how much comes from 1-to-1 vs group lessons and each subject, and who still owes you. Expenses and the Income statement have their own tabs at the top. Tip: “Received” counts invoices you've marked as paid, on the day they were paid — so remember to click Paid when money arrives. ### How do I send my income statement to my accountant? Source: https://tuitioncrm.com/help/#send-accountant 1. Go to Income → Income statement, and choose the Year or Month you need. 2. Click Send to accountant and type your accountant's email (it's remembered for next time). 3. Check the ready-made message, then click Send. The PDF is attached — and the Excel file too, unless you untick it. You get a copy, and replies come straight to you. Tip: Prefer your own email? Click “Use my own email app”: the PDF downloads and your email opens with the message — just attach the file. ### How do I record expenses like rent, printing or books? Source: https://tuitioncrm.com/help/#expenses 1. Go to Income, open the Expenses tab and click Add expense. 2. Under Paid to, pick who you paid from your merchants — or choose “+ Add a new merchant…” and type the name (e.g. Popular Bookstore). New merchants are saved for next time. 3. Under Description, choose what it was for (e.g. Rent, Printing & stationery, Books, Transport, Tuition agency fees). Picking a merchant fills in what you chose for them last time. Add notes if you like, then the amount and the date. 4. Under “How is it paid?”, choose One-off, Every month for fixed costs like rent, a phone plan or Zoom, or Every year for things like insurance or ACRA renewal — add it once and it counts every month (or in the same month every year), from the month it starts, even if the payment date is later that month. Choose the month and year under “Until” when it stops. 5. Click Save. Your Expenses and Profit update straight away. Tip: At the top of Expenses, “This month's costs” adds up your monthly bills, this month's share of spread purchases, yearly bills due this month and one-offs — the least you need to earn this month to break even — and shows how much you've received so far. Click any expense in the list to change or delete it. To take a merchant off your list, pick them under Paid to and click Remove from my merchants. ### I bought something big (like a car). Can I spread the cost over months or years? Source: https://tuitioncrm.com/help/#expense-spread 1. Go to Income → Expenses and click Add expense. 2. Under Description, choose what it was for (e.g. Car / vehicle or Equipment) and, under “How is it paid?”, choose Spread over time. 3. Enter the full price and the day you bought it, then how long to spread it over — e.g. 5 years or 18 months. You'll see how much counts each month. 4. Click Save. Each month's Expenses, Profit and income statement now include just that month's share, until it's fully counted. Tip: This is for seeing your real monthly profit. For your tax return, big items like a car can follow different rules (capital allowances, and private cars are often not claimable) — check with IRAS or your accountant. ### How do I get my income statement for my tax return? Source: https://tuitioncrm.com/help/#income-tax 1. Go to Income, choose Year and pick the year with the arrows. 2. Open the Income statement tab: your income, expenses by category and profit — plus the four figures IRAS Form B asks for (Revenue, Gross profit, Allowable business expenses, Adjusted profit). 3. Click Excel to download it (with every payment and expense on separate sheets), PDF to save or print it, or Google Sheets to open it there. Tip: Choose Month for a monthly statement. Only business expenses are allowable for tax — check with IRAS or an accountant if you're unsure. ### How do I see how many lessons I taught and how much I earned? Source: https://tuitioncrm.com/help/#analytics 1. Go to Analytics. 2. Use the date picker at the top right (e.g. This month, Last month, This year). 3. Hover over the charts for exact numbers, or click Show table. ### How do I see who hasn't paid? Source: https://tuitioncrm.com/help/#who-owes 1. Go to Analytics and scroll to Unpaid invoices. 2. Click an invoice to open it and send a reminder. ### Where can I see exam dates and public holidays? Source: https://tuitioncrm.com/help/#key-dates 1. Go to Schedule and open the Key dates tab. 2. Switch between years at the top. Each date has a link to the official source. 3. IB exams are listed under National exams: the May session (most Singapore IB schools) and the smaller November session. ### Do you show ABRSM and Trinity music exam dates? Source: https://tuitioncrm.com/help/#music-exams 1. Yes — if you teach music. Add each student's instrument in their subjects (for example Piano, Violin or Music theory). 2. Your calendar then shows ABRSM and Trinity exam sessions in Singapore, theory papers and booking deadlines, and Schedule → Key dates lists them all with a link to the official page. 3. To count down to one student's exam, click Add exam in Schedule, type it (for example ABRSM Grade 5 Piano), pick the date and tick the student. It shows on their parent page too. Tip: New dates are added when ABRSM and Trinity publish them. Always confirm with the board before you enter students. # For other teachers ## The scheduling and billing app for music teachers in Singapore Page: https://tuitioncrm.com/for/music-teachers/ Piano, violin, guitar, voice or theory — TuitionCRM keeps your weekly lessons, make-ups and fees in one place. Parents get a PayNow QR on every invoice and a reminder before every lesson, and ABRSM and Trinity exam dates and booking deadlines show up on your calendar. - ABRSM & Trinity dates on your calendar: When your students learn an instrument or theory, your calendar shows exam sessions, theory papers and booking deadlines in Singapore — with the official source for each date. - Each student's exam, counted down: Add a student's exam (say, Grade 5 Piano on 30 Nov) and it shows on your calendar and their parent page with a countdown. - Make-ups that track themselves: Cancelled or missed lessons earn a make-up by your own rules. Book it in one tap, and nobody is billed twice. - Per lesson, monthly or term fees: Charge per lesson, a flat monthly fee, or packages of lessons (Pro). Add exam fees, books or a registration fee as extra lines. - PayNow on every invoice: Your own PayNow QR with the exact amount and reference. Parents can also pay by card, and save it so each invoice pays itself. - A page for every family: Parents see the next lesson, invoices, make-ups and exam countdowns — no app or password. Older students can have their own page, without the fees. - Reminders that send themselves: A reminder the evening before each lesson, and an email when a lesson moves — in your name (Pro). - For music schools too: Several teachers, rooms with a warning before anything is double-booked, and each teacher's pay worked out from the lessons they taught (Pro Plus and Centre). - Your own teacher website: A free page with your instruments, grades taught, rates and parents' video testimonials — so new families find you. ### Is TuitionCRM only for academic tuition? No. It works for anyone who teaches students one-to-one or in small groups and bills parents — piano, violin, guitar, voice, music theory and other instruments included. You type in whatever each student learns, and lessons, make-ups, invoices and reminders work the same way. ### Does it show ABRSM and Trinity exam dates? Yes. When your students have a music subject (piano, violin, theory and so on), your calendar shows ABRSM and Trinity exam sessions, theory papers and booking deadlines in Singapore, and so does the Key dates page — each with a link to the board's official page. You can also add each student's own exam date, which then shows on their parent page with a countdown. ### How much do ABRSM exams cost in Singapore in 2026? ABRSM's Singapore fees for 2026 are S$304 for a Grade 1 practical exam, S$441 for Grade 5 and S$759 for Grade 8 — the same for every instrument. Online Music Theory is S$140 for Grade 1 and S$205 for Grade 5, and Performance Grades are S$211 (Grade 1), S$307 (Grade 5) and S$529 (Grade 8). Fees come from ABRSM's Singapore exam dates & fees page — check it before you book. ### How much do Trinity music exams cost in Singapore? For 2026, Trinity's Singapore representative (TCM Examinations) lists S$279 for a Grade 1 practical exam, S$435 for Grade 5 and S$678 for Grade 8, and S$143 (Grade 1), S$199 (Grade 5) and S$293 (Grade 8) for written theory. ### When do ABRSM bookings close in Singapore? In 2026, ABRSM's Singapore practical exams ran in four sessions, each with a two-week booking window about two to three months before — for example, bookings for the 23 November to 11 December session closed on 24 September 2026. Paper-based theory (Grades 6–8) was held on 7 March, 27 June and 31 October 2026. ABRSM hasn't published its 2027 Singapore dates yet; we add them as soon as it does. ### Can I add the exam fee to a parent's invoice? Yes. Add it as an extra line — for example “ABRSM Grade 5 Piano exam fee” — on the student's next invoice, and it's paid with the lessons by PayNow or card. ### Can a music school with several teachers use it? Yes. On Pro Plus and Centre you can add teachers, see each teacher's lessons, set up rooms (with a warning before a room is double-booked), and see each teacher's pay worked out from the lessons they taught. ### How much does TuitionCRM cost? You get a clean tuition invoice with your own PayNow QR code — the amount and invoice number are already in it, so parents scan with any Singapore banking app and pay in seconds. Free, no sign-up, nothing is saved. ### Is this PayNow invoice generator free? Yes. It's free, you don't need an account, and nothing you type is saved or sent anywhere — the invoice is made in your browser. ### Will the PayNow QR work with every bank? Yes. It uses the standard SGQR / PayNow format that every Singapore banking app reads, including DBS PayLah!, POSB, OCBC and UOB. The amount and invoice number are filled in for the parent. ### Can I use my UEN instead of my mobile number? Yes. Choose UEN if your tuition business is registered and parents pay the business. ### Why does the parent see my name when they scan? Their bank shows the name registered to your PayNow number before they pay — that's how they know it's really you. The name you type on the invoice is just for the invoice. ### How do I send it to parents? Click Download image and send the picture on WhatsApp, or Copy message for a ready-made text with the amount and your PayNow number. On a phone, the image opens your share menu. ### Can I make invoices for all my students at once? Not with this free tool. TuitionCRM's Bill everyone makes every parent's invoice for the month in one tap, from the lessons you taught, each with your PayNow QR — free for up to 5 students. ## Tuition rates in Singapore (2026): rate calculator Tool: https://tuitioncrm.com/tools/tuition-rates-singapore/ In 2026, 1-to-1 home tuition in Singapore costs about S$25–60 an hour with a part-time tutor, S$35–80 with a full-time tutor, and S$60–130 with an ex or current MOE teacher — higher for exam years (P6, Sec 4/5, JC2). Pick the level and your experience below to see the range, a suggested rate, and what it comes to per lesson and per month. ### How much is tuition per hour in Singapore in 2026? For 1-to-1 home tuition: about S$25–60 an hour with a part-time tutor, S$35–80 with a full-time tutor, and S$60–130 with an ex or current MOE teacher. Primary levels are at the lower end and JC (A-Level) at the top. ### How much is PSLE tuition? Primary 4–6 (PSLE) tuition is typically S$30–40 an hour with a part-time tutor, S$40–55 with a full-time tutor and S$70–90 with an ex-MOE teacher. P6 is usually at the top of each range. ### How much is O-Level tuition? Secondary 3–5 (O-Level, and the SEC from 2027) is typically S$40–50 an hour part-time, S$45–65 full-time and S$80–105 with an ex-MOE teacher. ### How much is JC / A-Level tuition? JC 1–2 tuition is typically S$50–60 an hour part-time, S$60–80 full-time and S$95–130 with an ex-MOE teacher, with H2 subjects at the top. ### Are these rates official? No — there's no official rate. These are 2026 market ranges compiled from rate guides published by Singapore tuition agencies. Use them as a starting point, then adjust for your results and demand. ### Should I charge per lesson or per month? Quote per hour, then bill however suits you: per lesson (fairest), a monthly fee (steady income) or packages (paid upfront). Use our free tuition fee calculator to work out a month's fees. ## Monthly tuition fee calculator Tool: https://tuitioncrm.com/tools/tuition-fee-calculator/ Pick the month, your lesson day(s) and your rate. The calculator counts every lesson in the month, skips Singapore public holidays, and adds make-up lessons, late cancellations you charge for, materials and sibling discounts — so you know exactly what to bill each parent. ### How many tuition lessons are in a month? A weekly lesson happens 4 times in most months and 5 times when the month has five of that weekday. Public holidays you don't teach on reduce it. The calculator counts it exactly for the month you pick. ### Do tutors charge for public holidays? Most tutors on per-lesson billing don't charge for a lesson that falls on a public holiday — or they offer a replacement slot. On a monthly fee, say upfront whether holidays are made up. The calculator skips Singapore public holidays unless you untick it. ### Should I charge for late cancellations? Many tutors charge for cancellations made less than 24 hours before the lesson, and offer a make-up for earlier notice. Whatever you choose, put it in writing — see our make-up lesson policy guide. ### How do I charge for 5-lesson months on a monthly fee? Either the 5th lesson is included (simplest, parents like it) or charge it as an extra lesson. The calculator shows both the lesson count and the per-lesson total so you can decide. ### Which public holidays does it skip? The Singapore public holidays gazetted by the Ministry of Manpower for 2025–2027, including the extra Monday when a holiday falls on a Sunday. ## Free tuition tracker spreadsheet (Excel & Google Sheets) Tool: https://tuitioncrm.com/tools/tuition-tracker-template/ Download our free tuition tracker template — one spreadsheet with a Students tab (parent contacts and rates), an Attendance tab (a drop-down for Taught, Make-up owed or Cancelled) and a Fees tab that works out each student's lessons this month, amount due, what's still owed and make-ups owed by itself. It opens in Excel and Google Sheets. No sign-up. ### Is the tuition tracker template really free? Yes. Download it and use it as long as you like — no sign-up, no email. It's an ordinary Excel file you own. ### Does it work in Google Sheets? Yes. Upload it to Google Drive and open it with Google Sheets. The formulas and drop-downs keep working, and you can update it from the Sheets app on your phone. ### How do I record a make-up lesson? When a student misses a lesson you'll make up, mark it Make-up owed (it isn't billed). When you teach the make-up, add it as Taught on the day, and write Yes under Make-up done on the original row. The Fees tab counts the make-ups still owed. ### Can I charge a monthly fee instead of per lesson? Yes — put the monthly fee in the Fee per lesson column and mark one Taught lesson a month, or simply type the amount due over the formula. If you mix monthly fees, packages and per-lesson students, TuitionCRM handles all three. ### How do I track group classes? Add each student in the group as their own row on Students and on Attendance, with their own fee. Each parent is billed for their child only. ### Can I import this spreadsheet into TuitionCRM? Yes. The Students tab uses the column names TuitionCRM's import looks for, so in Students → Import you can upload or paste it and everyone comes in with their parent's contact and rate.
