Help centre
How can we help?
Step-by-step answers for everything in TuitionCRM, using the exact button names you'll see.
Getting started
Signing in, your account, and where your data is kept.
I'm new — what should I do first?
- 1Go to Students and click Add student for each of your students (name, parent's phone and email, and your rates).
- 2If you teach some students together, go to Students → Groups and click New group.
- 3Go to Schedule and click New lesson to book your regular lessons — choose Every week so you only do it once.
- 4In Invoices → Settings, fill in your PayNow number, centre address and usual Zoom link.
The “Get set up” checklist on the Overview walks you through all of this. Want to look around first? Click Try demo at the top of the home page.
Open the setup checklist in the app →Where's the setup checklist?
- 1New accounts see “Get set up” at the top of the Overview page, with each thing to set up and where to find it.
- 2Click the button next to a step to go straight there. Steps tick themselves off as you finish them.
- 3When you save a step, a bar at the bottom of the screen says it's done and shows the next one — click Next step to go straight there, or See all steps to go back to the list.
- 4Click Hide to put it away — “Show setup checklist” on the Overview brings it back.
- 5It disappears by itself once the essential steps are done.
How do I put my company name and UEN on invoices?
- 1Click your name at the bottom of the left menu, then Account settings, and open the Business tab.
- 2Under Business details (optional), choose your country, then type your registered business name (e.g. “… Pte. Ltd.”) and registration number (UEN in Singapore).
- 3If you're GST / VAT registered, add your tax number. You can add your business address too.
- 4Click Save. They now appear at the top of every invoice and on your income statement.
It's optional — leave it blank if your tuition isn't a registered business. Outside Singapore, pick your country and the labels change (e.g. ABN, Company No., EIN), or edit them yourself.
Open Business details in the app →Where do I add my WhatsApp number?
- 1Click your name at the bottom of the left menu, then Account settings (on a phone: More → your name). It's on the Profile tab.
- 2Under WhatsApp number for parents, choose your country code (Singapore +65, Malaysia +60 and more), type your number and click Save.
- 3Parents' WhatsApp and “Can't make it?” buttons on their parent page now open a chat with you.
What's different in the demo account?
- 1Everything works the same, so you can try it all — but your changes are only kept in this browser.
- 2Emails are never sent: “Send me a test” and “Send schedule email now” just explain it's the demo.
- 3The synced “Google Calendar (example)” and its busy times are made up.
- 4The PayNow details are an example that can't receive money.
- 5When you're ready, click Create your real account (bottom of the left menu, or at the top on a phone).
How do I sign in on another phone or computer?
- 1Open the app's web address on the other device.
- 2Click Sign in and enter the same email and password.
- 3All your students, lessons and invoices appear — everything is saved online.
I forgot my password. How do I reset it?
- 1On the sign-in page, click Forgot password? (under the password box).
- 2Enter your email and click Send reset link.
- 3Open the email and click the link (it works for 60 minutes).
- 4Type a new password twice and click Save new password. You're signed in straight away.
Can't see the email? Check your spam folder.
How do I change my name, business name, email or password?
- 1Click your name or the gear icon at the bottom of the left menu, then Account settings (on a phone: More → your name).
- 2Change your name or business name and click Save — they appear on invoices and messages.
- 3To change your email or password, open the Email & password tab, enter your current password, and click Change email / Change password.
On the demo account you can look around, but the email and password can't be changed — sign up for a real account first.
Open Account in the app →Which plan am I on? How do I upgrade or downgrade?
- 1Your plan (Free, Pro or Centre) is shown next to your name at the bottom of the left menu (on a phone: More → your name). Click your name, then Account settings, and open the Plan tab.
- 2You'll see your plan, how many active students it allows, and what Free, Pro and Centre include.
- 3Click Upgrade to Pro or Upgrade to Centre and pay by card — your plan switches as soon as the payment goes through. To cancel, click Cancel plan (or Manage billing); you keep your plan until the end of the period you paid for.
- 4Pages that aren't in your plan (like Income, Analytics, Reminders or Bill everyone on Free) still open, with a blue note at the top, so you can see what they do with your own data. Tabs and the arrows that change the month still work; pressing any other button or typing in a box shows a short message with an Upgrade button. Adding a 6th active student does the same (and a 51st on Pro, for Centre).
Your first month on Pro or Centre is S$15. Free is for up to 5 active students and Pro up to 50; churned and graduated students don't count. To move down a plan, your active students need to fit its limit first.
Open your plan in the app →How do I download a backup of all my data?
- 1Go to Account settings and open the Backup tab.
- 2Click Download a full backup. A file with all your students, lessons, invoices, expenses and settings is saved to your computer or phone.
- 3To put a backup back, click Choose backup file…, pick the file, check the numbers, and click Replace everything with this backup.
Restoring replaces everything in the account with what's in the file — keep your latest backup somewhere safe.
Open Backup in the app →How do I pay for Pro or Centre, change my card or see my invoices?
- 1Go to Account settings and open the Plan tab.
- 2Choose Monthly or Yearly (yearly gets 1 month free), then click Upgrade to Pro or Upgrade to Centre.
- 3Pay on Stripe's secure page. Your first month on a monthly plan is just S$15. You come straight back and your plan switches on.
- 4To switch between Pro and Centre, change your card, see invoices or cancel, click Manage billing.
- 5Paying monthly? Click Switch to yearly on the Plan tab (under your plan) to get 1 month free. You'll see exactly what you pay today — the yearly price minus credit for the days left in this month — before you confirm.
Card details are handled by Stripe — TuitionCRM never sees them. If a payment fails, you'll see a message on the Plan tab with an Update card button; Stripe tries again for you.
Open your plan in the app →How do I cancel my plan?
- 1Go to Account settings and open the Plan tab.
- 2At the bottom, click Cancel Pro plan (or Cancel Centre plan).
- 3Read what changes, tell us why if you like, and click Cancel plan.
You move to the Free plan straight away. All your students, lessons, invoices and income records are kept, and you can switch back any time. Free is for up to 5 active students — set students who have stopped to Churned or Graduated first if you have more.
Open your plan in the app →Are there any fees when parents pay me? Can I pay for my plan yearly?
- 1PayNow and bank transfer: no fees at all, on every plan — parents pay you directly and the money never touches us.
- 2Automatic card payments (coming soon, optional): parents save a card and invoices are paid automatically. There's a small fee on top of the card processor's fee — 1.5% on Free, 0.75% on Pro, 0.5% on Centre — and you can add it to the parent's bill.
- 3Yearly plans: pay for 12 months at the price of 11 (Pro S$649, Centre S$2,739; US$539 and US$2,189). The price stays locked in when you renew.
Can I see every feature before upgrading?
- 1Click See everything in Centre in the left menu (on a phone: More).
- 2A full sample account opens in a new tab, with example students, lessons, invoices and every feature switched on.
- 3Look around as much as you like — nothing there touches your own account, and you stay signed in to it.
- 4Click Back to my account when you're done, or Switch to Centre to move your account to Centre.
The card only shows on Free and Pro. Changes in the sample account stay in that browser.
Where do I find this Help page again?
- 1Click your name or the gear icon at the bottom of the left menu, then Help & how-tos.
- 2Or click Help in the left menu.
- 3On a phone, tap More at the bottom, then Help.
How do I ask for a new feature, report a bug or contact you?
- 1Click Request a feature in the left menu (on a phone: More → Request a feature).
- 2At the top, choose Request a feature, Report a bug or Contact us.
- 3Describe it in your own words — for a bug, what you did and what went wrong.
- 4Add screenshots if they help: click Add under Screenshots (up to 3), or paste one with Ctrl/⌘ + V.
- 5If you're happy for us to message you to clarify, add your WhatsApp number (optional).
- 6Click Send.
It goes straight to the developer, who reads every one and replies by email.
Are there keyboard shortcuts?
- 1⌘ + ↑ / ↓ (Ctrl on Windows) moves up and down the tabs in the left menu.
- 2On the Schedule, ⌘ + ← / → moves to the previous or next day, week, month or year.
- 3Press Esc to close a pop-up window.
Is my students' information private? How do I delete my data?
- 1Only you can see your students, lessons and invoices. We never sell your data or use it for advertising.
- 2To remove one student, open them in Students and click Delete student.
- 3To delete your whole account and all its data, email us from your account email (the address is on the Privacy Policy page). We delete it within 30 days.
- 4Tell parents you keep their details for lessons, invoices and reminders. The Privacy Policy has example wording you can send on WhatsApp.
Do I need to save my work?
- 1No — changes save automatically.
- 2Look under your name in the left menu: “All changes saved” means everything is safely stored online.
- 3If it says “Offline”, keep working; it saves as soon as you're back online.
Students
Adding students, their details, notes and status.
Can I bring in my students from Excel or Google Sheets?
- 1Go to Students and click Import from Excel.
- 2Choose your Excel (.xlsx) or CSV file — or copy your rows in Excel / Google Sheets and paste them in.
- 3Check which column is which (we guess for you — only the student's name is needed), then click Next: check students.
- 4Untick anyone you don't want, then click Import.
It's optional — you can always add students one by one. Using Google Sheets? File → Download → Microsoft Excel. Students already in TuitionCRM are skipped for you.
Open Students in the app →How do I add a new student?
- 1Go to Students and click Add student.
- 2Fill in the student's name, education level, school and subjects.
- 3Fill in the parent's name, WhatsApp number (with +65) and email.
- 4Enter your hourly rates for 1-to-1 and group lessons.
- 5If they're joining a class, tick the group under “Joins these groups”.
- 6Click Save.
How do I change a student's details?
- 1Go to Students and click the student's name.
- 2Click Edit at the top.
- 3Change what you need and click Save.
How do I write notes about a student?
- 1Open the student (Students → click their name).
- 2Scroll to Notes, type your note, and click Add note.
- 3Each note is dated. Click Edit or Delete next to a note to change it.
Notes are only for you — parents never see them.
A student stopped lessons or graduated. What do I do?
- 1Open the student and scroll to Status.
- 2Choose Churned (stopped lessons) or Graduated.
- 3If they're still booked, you're asked whether to take them off their upcoming lessons and groups — click OK. Past lessons and invoices stay.
- 4They move out of the Active list, can't be booked, and get no lesson emails (reminders for unpaid invoices still go out) — but their history is kept.
On the Students page, use the All / Active / Churned / Graduated tabs to see each list.
How do I delete a student?
- 1Open the student and scroll to the bottom.
- 2Click Delete student and confirm.
- 3They're taken off all lessons and groups. Their invoices are kept.
If they might come back, set their status to Churned instead of deleting.
How do I find a student quickly?
- 1Go to Students and type in the search box (name, school or parent).
- 2Use the drop-down to show only one group, or “1-to-1 only”.
How do I see how many lessons a student has attended?
- 1Open the student.
- 2“Dates attended” at the top shows the count; the Attendance record lists every date by month.
- 3Short-notice cancellations are listed in their own section with your notes.
Groups
Classes of several students taught together.
How do I create a group?
- 1Go to Students and click the Groups tab.
- 2Click New group.
- 3Type the group's name, e.g. “Sec 4 A Maths Group”.
- 4Tick the students in the group.
- 5Choose its usual day, start time, length and how often (every week, every 2 weeks or once a month).
- 6Choose where it happens (your centre, home, online or other).
- 7Click Create group.
- 8On the group's page, click Book lessons to put its lessons on your calendar.
How do I add a student to a group?
- 1Go to Students → Groups and click the group.
- 2Under Students, choose the student in “Add a student to this group…” and click Add.
- 3They're added to all of the group's upcoming lessons automatically.
You can also do it from the student's page (Groups → Add to a group…), or when adding a new student.
How do I remove a student from a group?
- 1Open the group (Students → Groups → click it).
- 2Click Remove next to the student and confirm.
- 3They're taken off upcoming lessons. Past lessons stay on their record for billing.
How do I book lessons for a group?
- 1Open the group and click Book lessons (or Book more lessons).
- 2Everything is filled in: the students, day, time, place and “Every week”.
- 3Choose when the lessons end (after a number of lessons, or on a date) and click Save.
Or in Schedule click New lesson → Group and pick the group from “Which group?”.
My group is moving to a new time for good. How do I change it?
- 1In Schedule, click the group's next lesson.
- 2Change the date or start time.
- 3Under “Save changes to…”, choose “This and all later lessons of the group”.
- 4Click Save. All later lessons move, and the group's usual time is updated.
One student is missing one group lesson / joining for one week only. What do I do?
- 1In Schedule, click that lesson.
- 2Tick or untick the student under “Students in this lesson”.
- 3Keep “Only this lesson” selected and click Save.
If a student is cancelling, use Attendance on the lesson instead — it keeps a record and handles short-notice charges.
How do I delete a group?
- 1Open the group and scroll to the bottom.
- 2Click Delete group and confirm.
- 3Its upcoming lessons are removed; past lessons are kept.
Schedule & lessons
Booking, moving and cancelling lessons, time off and exams.
How do I book a 1-to-1 lesson?
- 1Go to Schedule and click New lesson (or click an empty time on the calendar).
- 2Make sure 1-to-1 is selected and choose the student.
- 3Pick the date, start time and length.
- 4Choose the location (centre, home, online or other).
- 5Under Repeat, choose One-off lesson, Every week, Every 2 weeks or Every month — then when it ends.
- 6Click Save.
A student wants another lesson like their last one. How do I book it again?
- 1Open the student (Students → click their name) and find the lesson under Classes.
- 2Click Book again under that lesson. (Or click the lesson on the Schedule and click “Book again — same lesson, another day”.)
- 3Everything is copied: student, subject, time, length and place, on the next same weekday.
- 4Check the date and click Save. To keep going every week, choose Every week under Repeat first.
Book lesson at the top of a student's page also starts from their most recent lesson.
How do I book a lesson once a month?
- 1Click New lesson and pick the date of the first lesson.
- 2Under Repeat, choose Every month — it repeats on the same week and day, e.g. “the 2nd Saturday”.
- 3Choose when it ends and click Save.
For a single lesson that never repeats, choose One-off lesson.
My weekly lessons are about to run out. How do I add more?
- 1Click any lesson in the series.
- 2Next to “Repeats every week…” (or every month), click Extend series.
- 3Choose how many more lessons (or until a date) and click Add.
How do I move (reschedule) a lesson and tell the parent?
- 1Click the lesson and click Reschedule at the top.
- 2Pick the new date and time (you'll be warned about clashes). Add a reason if you like.
- 3Click Move lesson.
- 4A message for each parent appears — click WhatsApp to send it, or Copy.
How do I cancel a lesson?
- 1Click the lesson and click Cancel lesson at the top.
- 2Add a reason if you like and click Yes, cancel lesson.
- 3It stays on the calendar crossed out and isn't billed. Click Restore lesson to undo.
If only one student is cancelling, use Attendance on the lesson instead.
How do I mark attendance or a student cancelling?
- 1Click the lesson and scroll to Attendance.
- 2For each student choose Attended, No-show, Cancelled or Short-notice cancel.
- 3Add a note (e.g. “Sick — mum messaged at 2pm”) and click Save.
Cancelling on the day of the lesson is recorded as short notice automatically. Past lessons count as attended unless you change them.
How do make-up lessons work?
- 1When a student misses a lesson (for example they cancel, or you cancel), the app notes that a make-up lesson is owed.
- 2You'll see it on the student's profile under Make-up lessons, and on the Overview page under Make-up lessons to book.
- 3Once you book the make-up, it's crossed off. Make-up lessons don't expire.
Each lesson is only paid for once: if the missed lesson was charged (e.g. a short-notice cancel), the make-up is free. If it wasn't charged, the make-up is charged as normal.
How do I book a make-up lesson?
- 1Open the student (Students → their name), or go to the Overview page.
- 2Under Make-up lessons, click Book make-up next to the missed lesson.
- 3Pick the date and time, then click Save.
Joining another class instead? Open that lesson, tick the student, and under “Make-up lesson?” choose which missed lesson it's for. If the family doesn't need one, click No make-up needed on their profile (you can undo it).
How do I choose which missed lessons get a make-up?
- 1Go to Invoices and click Settings.
- 2Under Make-up lessons, tick when a make-up is owed: when you cancel, when a student cancels in advance, at short notice, or for a no-show.
- 3Click Save.
“Count missed lessons from” lets you ignore older cancellations from before you started using make-up lessons.
Open make-up settings in the app →How do I note what to teach in a lesson?
- 1Click the lesson.
- 2Type in the Lesson plan box (one per student for groups).
- 3Click Save. Today's plans also show on the Overview page.
How do I delete a lesson that was booked by mistake?
- 1Click the lesson.
- 2At the bottom click Delete (or “Delete this & following” for the rest of a weekly series).
Other teachers take some of my lessons. How do I give them their students and classes?
- 1Click Teachers in the menu and add each teacher's name and WhatsApp number (e.g. Mr Lim, 9123 4567). Teachers are part of the Centre plan.
- 2Click Assign students & classes under a teacher's name, tick the students and classes they teach, and click Save. For a student with several subjects, tap the subjects this teacher takes (e.g. A Maths but not E Maths). Their upcoming lessons in those subjects move to that teacher, and new lessons go to them.
- 3Click Preview to see exactly what the teacher sees on their link.
- 4To take a student, subject or class back, click Assign students & classes on your own card (at the top) and tick it.
- 5You can also do it one at a time: open a student (or group), click Edit, and choose the teacher under Usual teacher — one per subject if they have several.
- 6To see one teacher's lessons or students, click “… lessons this week” or “… students” under their name on the Teachers page.
- 7Click Send schedule on WhatsApp — WhatsApp opens a chat with that teacher, with their private schedule link filled in. Tap send. They see their own lessons, students and classes, and can add them to their phone calendar — no account needed.
The link never shows parents' phone numbers, emails, invoices or fees. If a link is shared by mistake, click New link — the old one stops working. You only get a clash warning when the same teacher (or the same student) is booked twice.
Open Teachers in the app →How do I add my own key dates (e.g. a school's prelims)?
- 1Go to Key dates.
- 2Under Your key dates, type the Name of event (e.g. “RI prelims”) and choose the Date.
- 3Click Add. It shows in yellow on your Schedule, like exam dates, with a countdown at the top.
To remove one, click the bin next to it. You can also add one from Schedule → Add exam, which lets you pick the students taking it.
Open Key dates in the app →How do I add a personal event (e.g. my sister is in town) but still book lessons?
- 1In Schedule, click Add event.
- 2Type what it is (e.g. “Sister in town”), choose the dates (e.g. 1 Oct to 4 Oct), and either All day or a start and end time.
- 3Click Save. It shows on your calendar in purple. You can still book lessons on those days — you won't get a clash warning.
Can't teach at all then? Use Block time instead — it warns you if you book a lesson over it.
My weekly lessons fall on a public holiday or a day I've blocked. How do I skip those?
- 1Book the lesson as usual (New lesson) and choose Every week (or Every 2 weeks / Every month) under Repeat.
- 2If any dates fall on a public holiday or your blocked time, a yellow box lists them.
- 3For each date, choose No lesson (skipped) or Lesson goes ahead. Skipped dates start as No lesson.
- 4Click Save. Only the dates that go ahead are booked — the box tells you how many.
Skipped dates aren't billed and no reminders go out. Need a lesson on one later? Book it on that date as usual.
How do I block out time when I'm not available?
- 1In Schedule, click Block time.
- 2Type what it is (e.g. “Family trip”), choose the dates, and either All day or a start and end time.
- 3Click Save. You'll be warned if you try to book a lesson then.
Something every week, like choir on Tuesdays 2–4pm? Under Repeat, click Every week, tap the days (Tue), and set the times. It keeps going until you untick “Keeps going (no end date)” and pick an Until date. To delete it, click it on the calendar and click Delete: choose “Only this day” (e.g. choir is off one week) or “This day and all future days” (it has stopped).
How do I show my Google, Apple (iPhone) or Outlook calendar in the schedule?
- 1In Schedule, click Sync calendar.
- 2Under Add a calendar, pick Google, Apple (iPhone) or Outlook and follow the steps shown to copy your calendar's link.
- 3Paste it into the app and click Connect calendar.
- 4Your meetings appear as busy time within about 10 minutes.
The app only reads your calendar — it never changes it. Keep the link private.
How do I see my lessons in my phone's calendar?
- 1In Schedule, click Sync calendar.
- 2Under “Show my lessons in my phone's calendar”, click Set up my calendar link.
- 3On your iPhone, tap iPhone / Mac, then Subscribe. For Google Calendar, click Google Calendar on a computer, then Add. (Outlook: Copy link.)
- 4Optional: choose “Remind me” to get an alert before each lesson.
It's one-way, from TuitionCRM to your phone: when you book, move or cancel a lesson in TuitionCRM, your phone calendar updates by itself (within about an hour on iPhone; Google can take a few hours). Changes made in your phone calendar don't come back to TuitionCRM — always change lessons in TuitionCRM so parents are told and invoices stay right.
How do I stop syncing a calendar?
- 1In Schedule, click Sync calendar.
- 2Next to the calendar, click Stop syncing and confirm.
- 3Its busy times disappear from your schedule. Nothing in your own calendar is changed.
For Apple calendars you can also turn off Public Calendar on your iPhone, which stops the link working everywhere.
How do I add a school exam date?
- 1In Schedule, click Add exam.
- 2Type the exam name, choose the date(s), and tick the students taking it.
- 3Click Save. A countdown appears at the top of the Schedule and Overview pages.
O-Level, A-Level and PSLE Maths papers and Singapore public holidays are added for you. Don't want the countdown at the top of the Schedule? Click Hide next to “Coming up” (click “Show exam countdown” to bring it back).
How do I switch between day, week, month and year?
- 1Use the Day / Week / Month / Year buttons above the calendar.
- 2Click a date to see its lessons on the right; double-click it to open that day.
- 3Use the arrows (or ⌘ + ← / → on a Mac, Ctrl on Windows) to go back and forward.
- 4Click Today to jump back to today.
How do I set where a lesson happens, or add a Zoom link?
- 1In the lesson, under Location, choose your centre, Home, Online or Other.
- 2For Online, paste the Zoom link (or leave it empty to use your usual link).
- 3Save your centre address and usual Zoom link once in Invoices → Settings → Lesson locations.
Invoices & payments
Billing parents, PayNow, and chasing late payments.
How do I bill all my students at the end of the month?
- 1Go to Invoices and click Bill everyone.
- 2Check the month at the top (before the 15th it picks last month). Every student's invoice is worked out from their lessons and how you charge them.
- 3Untick anyone you don't want to bill — students already invoiced for that month are skipped. Click a name to see the lines.
- 4Click Create invoices, then send them: WhatsApp one by one, or Email all for families with an email address.
You can still open and edit any invoice afterwards.
Open Bill everyone in the app →How do I see invoices from a certain month or period?
- 1Go to Invoices and click the date button above the totals (it starts on All time).
- 2Choose This month, Last month, This year, the last 7 / 30 / 90 days, or pick your own dates.
- 3The list and the totals now only include invoices issued in that period (Paid shows money received in it).
Not sure what a button does? Hover over Bill everyone, Send, Remind or Paid for a short explanation.
Can I save my usual prices so I don't type them for every student?
- 1Go to Invoices → Settings → Your prices (Set your prices).
- 2Fill in your usual 1-to-1 and group rates. Add only the subjects that cost more or less (tap + A Maths, + H2 Maths…), plus any monthly fees, lesson packages and one-off charges like a registration fee.
- 3Click Save prices.
- 4Now Add student fills in your usual rates, and each subject's price when you add the subject. Monthly fees, packages and charges appear as “From your prices” buttons — one tap fills them in.
- 5In New invoice, the same “From your prices” buttons add a line with the price filled in.
Each student keeps their own copy of the price, so you can still give one student a special rate. Your prices are optional — you can always type prices on the student instead.
Open Your prices in the app →Can I charge per lesson instead of per hour (e.g. $50 a group class)?
- 1Go to Invoices → Settings → Your prices.
- 2Next to the 1-to-1 or Group rate, change “per hour” to “per lesson”, type the price for one lesson, and click Save prices. You'll be asked whether to update students already on your old price.
- 3For one student: open the student, click Edit, and change “per hour” to “per lesson” next to their rate.
Per lesson means the same price however long the lesson runs. Each can be set separately, e.g. 1-to-1 per hour and group classes per lesson.
Open Your prices in the app →How do I raise my prices?
- 1Go to Invoices → Settings → Your prices and change the price, e.g. your usual 1-to-1 rate from $60 to $65.
- 2Click Save prices. You'll see every student still on the old price.
- 3Untick anyone who should keep the old price (e.g. long-time students), then click Update.
Invoices already made don't change — only new invoices use the new price. Changing a price takes effect for lessons billed from then on, so tell parents before the new month.
Open Your prices in the app →Can I charge a monthly fee or sell lesson packages instead of per lesson?
- 1Open the student and, under Fees & charges, click “Change how they're charged” (or click Edit at the top).
- 2Under Fees → How do you charge?, choose Per lesson, Monthly fee or Package.
- 3Monthly fee: the same amount every month, however many lessons. Package: e.g. 10 lessons for $550 — lessons are counted down on the student's profile, and the next package is billed when it runs low.
- 4Tick “Give a discount” for things like a sibling discount, then click Save.
You can also change it while billing: in New invoice, choose the student and click Change — it's saved to the student. Bill everyone uses the same settings.
I teach a student more than one subject at different prices. How do I set that?
- 1When adding or editing a student, add each subject under Subjects — type it and press Enter, or tap a suggestion like + A Maths or + Physics. Start typing (e.g. “HL” or “H1”) to see more, like IB HL Maths or H1 Maths.
- 2Per lesson: under Price per subject, type a price only for subjects that cost more or less. Empty means the usual rates.
- 3Monthly fee: click “Set a fee for each subject” — each fee is its own line on the invoice.
- 4Click Save. When you book a lesson, pick the subject in the Subject box so the right price is used (group lessons use the group's name, e.g. “Sec 4 A Maths Group”).
Can I bill every 2 weeks, or after every few lessons?
- 1Open the student → Change how they're charged, and keep Per lesson.
- 2Under Bill every, choose Month, 2 weeks, or Few lessons (and how many, e.g. 4).
- 3Click Save. Bill everyone shows them whenever they're due, and a lesson is never billed twice.
Packages bill themselves when they run low; monthly fees are billed once a month.
How do I set my billing day?
- 1Go to Invoices → Settings → Billing day.
- 2Pick the day (e.g. the 1st), whether per-lesson bills cover last month's lessons or this month in advance, and which month monthly fees are for (usually this month, paid in advance).
- 3Tick “Email me on billing day” if you'd like a reminder, then click Save.
- 4From that day, the Overview and Invoices show “Billing is ready” — click it to check and send everyone's invoices.
How do I charge a registration fee, materials or a deposit?
- 1When adding or editing a student: under Fees → One-off charges, click + Registration fee, + Deposit, + Materials fee or + Other and enter the amount.
- 2Or open the student → Fees & charges → Add a charge.
- 3It's added to the student's next invoice automatically (Fill items and Bill everyone include it).
- 4Making an invoice by hand? In New invoice, use the same + buttons under the lines — or the “From your prices” buttons if you've saved your prices.
Deposits stay listed as “Deposit held”. When a student leaves, click Refund deposit — it's taken off their next invoice as a credit.
Can parents get automatic reminders when they haven't paid?
- 1Go to Reminders and make sure Automatic emails is on.
- 2Turn on Payment overdue, and choose when it goes out (e.g. 3 and 10 days after the due date).
- 3Edit the message if you like — your PayNow details are included for you.
It's off unless you turn it on. If the parent tapped “I've paid” on their parent page, reminders pause for 14 days (or until you click Not received).
Open Reminders in the app →How do I bill a parent for the month on WhatsApp?
- 1Open the student and click Bill on WhatsApp.
- 2Choose the month — the lessons and total are filled in.
- 3Check the message and click Create invoice & send. WhatsApp opens with the message ready.
- 4Then click Share invoice image to send the invoice with its PayNow QR code.
How do I make an invoice?
- 1Go to Invoices and click New invoice.
- 2Choose the student and the month, then click Fill items to add their lessons.
- 3Check the amounts and click Create invoice.
How do I let parents pay by PayNow or PayLah?
- 1Go to PayNow in the menu (or Invoices → Settings).
- 2Enter your PayNow mobile number and the name parents will see, and click Save.
- 3Every unpaid invoice now has a QR code with the amount filled in.
- 4Parents save the invoice image and choose “scan from gallery” in PayLah! or their banking app.
Test it by scanning with your own PayLah! — your name should appear. You don't need to pay.
Open PayNow in the app →How do I send the invoice as a picture?
- 1Open the invoice (Invoices → View) or click Send / Remind.
- 2Click Share invoice image (on a phone) or Download invoice image (on a computer).
- 3Send it to the parent on WhatsApp.
Someone hasn't paid. How do I remind them?
- 1Go to Invoices — overdue ones are marked in red.
- 2Click Remind next to the invoice.
- 3Send the invoice image, then click WhatsApp (or Email) to send the polite reminder.
Analytics → Unpaid invoices lists everyone who owes you money, most overdue first.
A parent paid. How do I mark it?
- 1Go to Invoices and click Paid next to the invoice.
- 2Paid on a different day? Open the invoice and change “Paid on” — Income counts the money in that month.
- 3Made a mistake? Open the invoice and click Mark unpaid.
How do I find a family's invoices, or sort the list?
- 1Go to Invoices and type in the search box above the list — a student's name, a parent's name, or an invoice number (e.g. INV-0012).
- 2The list and the totals at the top now only show that family's invoices — e.g. how much Mrs Tan still owes.
- 3Use the menu next to the search box to sort: newest or oldest first, student name, parent name, amount, or due date.
How do I send my PayNow QR to someone (not an invoice)?
- 1Go to PayNow in the menu.
- 2Optionally type an amount and reference.
- 3Click Share QR image (or Copy PayNow number) and send it.
How do I change the currency (e.g. from SGD to RM)?
- 1Click your name at the bottom of the left menu and choose Account settings (on a phone: More → tap your name).
- 2On the Profile tab, under Currency, choose yours — e.g. MYR — Malaysian Ringgit (RM) — and click Save.
- 3Every price, invoice, total, income statement and email to parents now shows the new currency.
Changing the currency changes the symbol, not the amounts — prices you've already set aren't converted, so update them if needed. PayNow QR codes only work in SGD. You can also change it in Invoices → Settings.
Open Account in the app →How do I change the currency, due date or message wording?
- 1Go to Invoices and click Settings.
- 2Change the currency, “Payment due after (days)”, or how parents should pay.
- 3Edit the WhatsApp message wording under WhatsApp / email messages, then click Save.
Adult student who pays for themselves? Put their own name as the parent's name — messages then say “your lessons” instead of “Adeline's lessons”.
Should short-notice cancellations be charged?
- 1Go to Invoices → Settings.
- 2Tick or untick “Charge for short-notice cancellations and no-shows” and click Save.
- 3Cancellations made in advance are never charged.
Parent page
A private link for each family: lessons, invoices, PayNow and make-ups.
What is the parent page?
- 1It's a private web page for each family — no app or password needed.
- 2Parents see the next lesson (with the address or Zoom link), upcoming lessons, invoices with your PayNow QR, make-up lessons, and key exam dates — PSLE, O-Level or A-Level dates for their child's level (with the official SEAB/MOE source), plus any exams you add.
- 3Brothers and sisters with the same parent phone or email share one page.
- 4Parents never see other students, your private notes, or other families' invoices.
- 5At the bottom, parents can share TuitionCRM with their child's other tutors on WhatsApp — it never includes your page or their details.
Want to see it first? Open any student and click Preview.
How do I send a family their parent page?
- 1Go to Students and open the student.
- 2Under Parent page, click Create parent page link.
- 3Click Send on WhatsApp — a ready-made message opens with the link. Or click Email to send it to the parent's email (or Copy and paste it anywhere).
After that, the link is also added to your invoice messages and reminder emails for that family automatically.
Can the parent page be emailed automatically when I add a student?
- 1Go to Invoices and click Settings, then scroll to Parent page.
- 2Tick “When I add a student, email the parent their page” and click Save.
- 3When you add a student, the box “Email the parent their parent page” is now ticked for you — untick it for any family you'd rather not email.
It's off unless you turn it on. Without it, you can still tick the box yourself when adding a student, or click Email on the student's profile.
A link was sent to the wrong person. What do I do?
- 1Open the student and find Parent page.
- 2Click New link. The old link stops working straight away.
- 3Send the new link to the right family. (Click Turn off to switch the page off completely.)
A parent tapped “I've paid”. What now?
- 1You'll see it on the Overview under “Parents say they've paid”, and on the Invoices page.
- 2Check your bank or PayNow for the money.
- 3Arrived? Click Paid next to the invoice. Not there? Click Not received — overdue reminders start again.
Can parents see my lesson plans? Where do “Can't make it?” messages go?
- 1Go to Invoices and click Settings, then scroll to Parent page.
- 2Tick “Show lesson plans to parents” if you'd like them to see what you'll cover (off unless you turn it on).
- 3Enter your WhatsApp number — parents' WhatsApp and “Can't make it?” buttons open a chat with you. (You can also set it in Account settings.)
- 4Click Save.
Email reminders
Automatic emails to parents.
How do I send automatic lesson reminders by email?
- 1Go to Reminders in the menu.
- 2Switch on Automatic emails.
- 3Switch on the emails you want: Welcome + schedule, Lesson reminder, Lesson moved, Lesson cancelled, Monthly schedule, Payment overdue.
- 4For Lesson reminder, choose when it's sent (e.g. the day before at 8pm).
How do I change what the emails say?
- 1In Reminders, click Edit message under the email.
- 2Pick a style (Friendly, Short, Formal) or type your own words.
- 3The preview shows exactly what parents will get. Click Send me a test to try it.
Words in {curly brackets} are filled in for you, like {student} and {date}.
How do I stop emails for one student, or send them to the student too?
- 1Open the student and find Email reminders.
- 2Choose Email the parent, Email the student, Email both, or Don't email.
Don't email stops lesson emails. Reminders about unpaid invoices still go to the parent, so money owed is never forgotten.
Why do the emails come to me instead of the parents?
- 1The app is in test mode until an email domain is set up, so you can safely see what parents would get.
- 2Each test email's subject shows who it would have gone to.
- 3Ask whoever set up the app to finish the email setup when you're ready.
Analytics & key dates
How your teaching and payments are going.
How much have I earned this year?
- 1Click Income in the left menu (on a phone: More → Income).
- 2Choose Year or Month at the top, and use the arrows to go back to earlier years or months. In a record month you'll see a celebration banner!
- 3The boxes show what you received, your expenses, your profit and what's still owed (with hours taught and earnings per hour underneath). A green ▲ or red ▼ shows the change from the previous year or month (for the current one, compared with the same point last time).
- 4The chart can show Bars, a Line (with last year or last month dashed for comparison) or a Table with exact amounts.
- 5Under Customers: new students, average invoice (AOV), average lifetime value per current student, and churn (students who left).
- 6Below: what each family paid, how much comes from 1-to-1 vs group lessons and each subject, and who still owes you. Expenses and the Income statement have their own tabs at the top.
“Received” counts invoices you've marked as paid, on the day they were paid — so remember to click Paid when money arrives.
Open Income in the app →How do I send my income statement to my accountant?
- 1Go to Income → Income statement, and choose the Year or Month you need.
- 2Click Send to accountant and type your accountant's email (it's remembered for next time).
- 3Check the ready-made message, then click Send. The PDF is attached — and the Excel file too, unless you untick it. You get a copy, and replies come straight to you.
Prefer your own email? Click “Use my own email app”: the PDF downloads and your email opens with the message — just attach the file.
Open the income statement in the app →How do I record expenses like rent, printing or books?
- 1Go to Income, open the Expenses tab and click Add expense.
- 2Under Paid to, pick who you paid from your merchants — or choose “+ Add a new merchant…” and type the name (e.g. Popular Bookstore). New merchants are saved for next time.
- 3Under Description, choose what it was for (e.g. Rent, Printing & stationery, Books, Transport, Tuition agency fees). Picking a merchant fills in what you chose for them last time. Add notes if you like, then the amount and the date.
- 4Under “How is it paid?”, choose One-off, Every month for fixed costs like rent, a phone plan or Zoom, or Every year for things like insurance or ACRA renewal — add it once and it counts every month (or in the same month every year), from the month it starts, even if the payment date is later that month. Choose the month and year under “Until” when it stops.
- 5Click Save. Your Expenses and Profit update straight away.
At the top of Expenses, “This month's costs” adds up your monthly bills, this month's share of spread purchases, yearly bills due this month and one-offs — the least you need to earn this month to break even — and shows how much you've received so far. Click any expense in the list to change or delete it. To take a merchant off your list, pick them under Paid to and click Remove from my merchants.
Open Income in the app →I bought something big (like a car). Can I spread the cost over months or years?
- 1Go to Income → Expenses and click Add expense.
- 2Under Description, choose what it was for (e.g. Car / vehicle or Equipment) and, under “How is it paid?”, choose Spread over time.
- 3Enter the full price and the day you bought it, then how long to spread it over — e.g. 5 years or 18 months. You'll see how much counts each month.
- 4Click Save. Each month's Expenses, Profit and income statement now include just that month's share, until it's fully counted.
This is for seeing your real monthly profit. For your tax return, big items like a car can follow different rules (capital allowances, and private cars are often not claimable) — check with IRAS or your accountant.
Open Income in the app →How do I get my income statement for my tax return?
- 1Go to Income, choose Year and pick the year with the arrows.
- 2Open the Income statement tab: your income, expenses by category and profit — plus the four figures IRAS Form B asks for (Revenue, Gross profit, Allowable business expenses, Adjusted profit).
- 3Click Excel to download it (with every payment and expense on separate sheets), PDF to save or print it, or Google Sheets to open it there.
Choose Month for a monthly statement. Only business expenses are allowable for tax — check with IRAS or an accountant if you're unsure.
Open the income statement in the app →How do I see how many lessons I taught and how much I earned?
- 1Go to Analytics.
- 2Use the date picker at the top right (e.g. This month, Last month, This year).
- 3Hover over the charts for exact numbers, or click Show table.
How do I see who hasn't paid?
- 1Go to Analytics and scroll to Unpaid invoices.
- 2Click an invoice to open it and send a reminder.
Where can I see exam dates and public holidays?
- 1Go to Key dates in the menu.
- 2Switch between years at the top. Each date has a link to the official source.
- 3IB exams are listed under National exams: the May session (most Singapore IB schools) and the smaller November session.
