Tuition Fee Reminder Message Templates

· 5 min read · By the TuitionCRM team

Chasing tuition fees is the part of tutoring nobody enjoys. The trick is to decide your messages in advance, so each reminder is friendly, short and the same for every parent — not a judgement on anyone. Copy these and change the names.

When the invoice goes out

"Hi Mrs Lim! Here's Ryan's invoice for October (4 lessons) — S$360, due 8 Nov. You can scan the PayNow QR in the image, with INV-0012 as the reference. Thank you! 😊"

1–3 days after the due date (gentle)

"Hi Mrs Lim, just a gentle reminder that Ryan's October invoice (S$360) was due on 8 Nov. Here's the QR again in case it got buried. Thank you!"

7 days late (clear)

"Hi Mrs Lim, hope you're well! A reminder that INV-0012 for S$360 is now a week overdue. Could you let me know when you'll be able to pay? Thank you."

14+ days late (firm and kind)

"Hi Mrs Lim, I haven't received payment for Ryan's October lessons (S$360, due 8 Nov). Per our lesson terms, I'll need to pause lessons from next week until it's settled. If anything's difficult at the moment, just let me know and we can work something out."

When a parent says they've paid (but you can't see it)

"Thanks Mrs Lim! I can't see it yet — could you send me the screenshot of the transfer? Sometimes the reference goes missing."

Tips that make reminders work

  • Always include the amount, the invoice number and the QR again. Make paying one tap.
  • Send at a sensible time — evenings, not at 7am.
  • Same rules for everyone. Your payment terms belong in your lesson policy.
  • Let a system send the early ones. Parents take an automatic reminder less personally than a message from you.

Common questions

Is WhatsApp OK for fee reminders?

Yes — it's where most parents in Singapore read messages. Email works for parents who prefer it. Keep the tone the same on both.

Should I charge a late payment fee?

You can, if it's in the policy the parent agreed to before lessons started. Most tutors find pausing lessons works better than a fee.

What if a parent ignores all my reminders?

Pause lessons as your policy says and send one last, polite message with the amount owed. For larger amounts, Singapore's Small Claims Tribunals handle claims without a lawyer.

How do I remind a parent who's also a friend?

Use the same template you send everyone. A message that's the same for every parent is easier to send — and easier for a friend to receive.

When is the best time to send a reminder?

Weekday evenings, when parents are home and can pay straight away. Avoid early mornings, late nights and Sundays.
