Tuition Invoice Template for Singapore Tutors

· 6 min read · By the TuitionCRM team

A clear tuition invoice gets you paid faster and avoids "wait, which lessons is this for?" messages. Here's exactly what to include, a template you can copy, and how to make paying it effortless.

What a tuition invoice should include

  1. Your name or business name, contact details, and UEN if you're registered.
  2. Invoice number — e.g. INV-0012. Parents use it as the payment reference.
  3. Bill to — the parent's name, and the student's name.
  4. Issue date and due date — most tutors give 7 days.
  5. The lessons — dates, subject, hours, rate and amount for each, or the monthly fee.
  6. Extras — registration fee, materials, make-ups, discounts.
  7. Total — in SGD.
  8. How to pay — PayNow (mobile number or UEN), with the reference to use.

Make paying it a 10-second job

  • Add a PayNow QR with the amount filled in. Parents scan it in their banking app instead of typing your number and the amount. PayNow works with every major Singapore bank.
  • Send it as an image on WhatsApp — where parents already are — with a short message.
  • Use the invoice number as the reference, so you can match payments at a glance.

Common invoicing mistakes

  • Billing a cancelled lesson by accident — or forgetting a make-up.
  • No due date, so "later" becomes "next month".
  • Invoicing on a different day each month. Pick one billing day.
  • Not following up. Use our fee reminder templates — and see how to collect fees with PayNow.

Registered business?

Add your registered name and UEN (and GST number if you're GST-registered). In TuitionCRM that's Settings → Business, and it appears on every invoice.

Common questions

Do I have to send invoices as a private tutor?

It isn't a legal requirement for most private tutors, but it's good practice. Invoices stop confusion about what's owed and give you the records you need at tax time.

How should I number my invoices?

Use one running number that never repeats, like INV-0001, INV-0002. Never reuse a number, even if you cancel an invoice.

Should I add GST to my tuition invoices?

Only if you're GST-registered, which is only needed when your taxable turnover is more than S$1 million a year. If you're not registered, don't add GST.

What's the difference between an invoice and a receipt?

An invoice asks for payment; a receipt confirms you've been paid. Some parents ask for a receipt for their records — in TuitionCRM, paid invoices can be sent as a receipt.

Should I send one invoice for siblings?

Most parents prefer one invoice for all their children, so they make one payment. List each child's lessons separately on it so it's clear what's for whom.
